HCS Administrative Assistant 4 Internal Only: This position is open to current DSHS employees only. Home & Community Living Administration (HCLA), Home and Community Services is currently seeking a highly skilled Administrative Assistant 4 to provide confidential, high-level administrative and executive support to the Statewide Eligibility & Services Delivery (SESD) Administrator. This statewide team spans 39 counties, 36 offices, and more than 300 employees, and this position plays a pivotal role in ensuring smooth and effective operations across the division. Home & Community Living Administration (HCLA) which promotes, plans, develops, and provides an array of long-term services and supports to people who have disabilities, are seniors, or have caregivers to maximize their independence, dignity, and quality of life. Note: This position can sit in any HCS office throughout the state. Some of what you'll do:Act as a key conduit for the SESD Administrator and Deputy Administrator by facilitating work and resolving issues within their scope of responsibility. Assist with complex, sensitive, and highly confidential projects, program matters, and personnel issues. Distribute assignments to Program Managers and Unit Supervisors and track progress to ensure timely completion. Consolidate, organize, and edit management responses to inquiries from legislators, the Governor’s Office, HCLA headquarters, AAA partners, and community agencies. Participate as a member of the SESD Management and Washington Management Services Leadership teams to support financial goal-setting and performance planning. Develop or coordinate the creation of reports and data needed for operational management, process improvement, and performance monitoring. Provide comprehensive administrative support by managing meeting logistics, maintaining records, processing correspondence, and organizing schedules for SESD leadership. Coordinate personnel paperwork and hiring activities, ensuring accurate tracking, confidentiality, and timely submission through all approval stages. Prepare briefing materials, talking points, reports, and other documents used by the SESD Administrator for strategic initiatives and stakeholder engagement. Collaborate with Operations and Building Managers to maintain office spaces, resolve facility issues, manage supplies, and ensure a safe and functional work environment.
