Directly reporting to the Chief Program Officer (CPO), this individual will provide high-level administrative support and coordination, handling a wide range of administrative and executive support-related tasks in support of the Program Management Department. This person must possess the ability to interact with staff, clients, and vendors (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient. Must be able to provide excellent internal and external customer service. ESSENTIAL FUNCTIONS Assists the Chief Program Officer with all administrative tasks Responsible for heavy calendar management to coordinate the Chief Program Officer meetings and reserving appropriate set-ups Maintains department calendar of scheduled days off Assists with the preparation of invoice approvals Prepares minutes of department meetings Responsible for the department's office supply requirements Reviews and summarizes miscellaneous reports and documents Arranges travel schedule and reservations as needed Prepares reports by collecting and analyzing information Drafts letters or documents and routes correspondence Participates, with other agency support staff, in agency-wide support functions (such as front desk support, phones, and mail functions) as needed or requested. Files department documents Assists the CM department with administrative needs as directed by the Chief Programs Officer. Other duties as assigned JOB QUALIFICATIONS Accurate - Ability to perform work accurately and thoroughly. Analytical Skills - Ability to use thinking and reasoning to solve a problem. Communication, Written and Oral - Ability to communicate in writing clearly and concisely. Ability to be pleasant, articulate and accurate on the phone with all parties. Organized - Possessing the trait of being organized or following a systematic method of performing a task. Time Management - Ability to prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner Sense of humor - always an asset. Education/ Experience Bachelor's degree in Business Administration or related field; OR five years of equivalent experience. Other Skills, Knowledge, and Abilities Computer Skills - Intermediate PC skills required. Must be proficient with Microsoft Word, Excel, and Outlook.
