Coordinates and manages all cardiac data services and systems within Marin General Hospital. The Data Administrator is responsible for the collection, abstraction, and clinical interpretation of data for patients undergoing cardiac diagnostic, interventional, or surgical procedures at Marin General Hospital. This position is also responsible for data input, analysis, and presentations, in collaboration with the Clinical Nurse Specialist and Nurse Practioners for the Cardiovascular Service Line. Job Requirements, Prerequisites and Essential Functions:Job Specifications:Education:Bachelor’s degree or equivalent experience in Business Administration, Information Systems, Health Services Administration, Computer Science or related health care field preferred. Experience:The ability to interpret data from the clinical record and within CV surgery and the cardiac catheterization laboratory. Excellent communications skills and knowledge of clinical terminology unique to CV services. Three plus years' experience in data management preferably in a health care setting. Experience handling data coordination between Hospital and state and national registry societies. Experience preferred in using healthcare databases. Knowledge of compliance and confidentiality is required. License and Certifications:Integrative Agitation Management (IAM) Required within 30 days of hire. Prerequisite Skills:Knowledge of clinical paths or guidelines for cardiac diagnoses to include: congestive heart failure, acute myocardial infarction, open-heart surgery, cardiac catheterization, PCI procedures and CRM (cardiac rhythm management). Uses this knowledge for accurate data collection and for valid and relevant reports. Ability to understand medical terminology and work with the patient medical record. Ability to interpret normal 12-lead electrocardiograms. Ability to communicate well verbally and in writing. Ability to work independently, prioritize tasks, and respond appropriately to urgent needs on requests while meeting deadlines and budget limitations in a largely multiple project-oriented work environment. Ability to stay organized, work effectively with intricate and detailed subject matter, and use good deductive reasoning. Demonstrated ability to exercise good judgment and problem solve independently. Excellent quantitative and analytical skills required. Ability to educate team members, staff from varying departments, physicians and nurses in all necessary aspects of information processes as related to the objectives of the Cardiovascular Service Line. Proficiency (or ability to become proficient) with computer operating systems, including database, spreadsheet, and word processing programs. Ability to design and run queries and produce standardized and custom reports. Demonstrates initiative, creativity, resourcefulness and flexibility. Primary Customer Served (Age Specific Criteria):This position is not a patient care position, and as such, this section does not apply. Patient Privacy (HIPAA Compliance):Employees in this position have access to protected health information. The protected health information a person in this position can access includes demographics, date of service, insurance/billing, medical record summary information, and all other information that may be contained in patient records. This position requires patient health information to perform the functions outlined as part of this position description. Duties And Responsibilities:Essential (Not Modifiable)Performs concurrent and retrospective data abstraction from patient records, interfaced data, and daily rounds. Ensures compliance with meeting standards and requirements regarding mandated reporting programs and national data registries. Develops and implements appropriate systems within daily workflow to ensure data completeness and accuracy. Maintains primary responsibility for the following data registries and state agencies:American College of Cardiology, National Registry. Society of Thoracic Surgeons, National Registry. California CABG Outcomes Reporting Program. Registry Site Manager for National Registries:Maintain current hospital contacts data. Regularly update database data definitions, meds and devices. Download Registry Outcome Reports when available, compare Hospital outcomes with the national benchmarks and report results to appropriate personnel. STEMI Program:Collects data on all STEMI patients for the purpose of ensuring appropriate and timely patient care in accordance with American Heart Association. Disseminates STEMI outcome data to appropriate parties (Hospital, EMS agencies, EMS County, and other acute care facilities) for every patient to review for improvement opportunities. Provides education to EMS agencies on STEMI code cancellations to help lower hospital costs by not activating personnel when not necessary. Create STEMI outcome report to present at bi-annual EMS County meetings. Produces custom queries and reports to meet specific needs of cardiovascular services and to optimize day-to-day functions. Designs templates and methodologies for preparation and presentation of outcomes data at Procedural Cardiology and Cardiothoracic meetings. Represents Marin General Hospital and coordinates with the Procedural Cardiology and Cardiothoracic Committees for all combined cardiology data projects. Provides CVSL Director and Medical Directors with statistical data as requested to assess increases in cases, procedures, case complexity and utilization data (i.e., room time, procedure time, complications, etc.)Trains and directs clerical data entry staff in an effort to maintain quality of data. Trains and guides data acquisition staff, particularly nurses, in an effort to maintain quality of data and to ensure standards are met for benchmarking. Assesses and reports any unusual occurrences regarding potential risk management or quality assurance issues verbally or in writing as soon as possible to the Medical Director of the CVSL department and as indicated, to the CVSL Director. Participates in capital budget review and operational budget expenses annually to ensure funding of existing registries/databases and any new or replacement technology requirements. Actively supports the CVSL CNS in maintaining chest pain center certification. Assists and supports symposia and classes with the Marin Heart InstituteSupports CVSL staff with Office Suite applications (i.e., Word, Excel, Power Point). Schedule the monthly Procedural Cardiology and Cardiothoracic meetings, create the agendas, and ensure meeting minutes and sign-in sheets are complete and accurate and in compliance for CME credits. Abides by all rules of confidentiality of medical information as guided by state and federal regulations and hospital and departmental policy. Acts as primary contact for Information Technology (IT) support staff. Works with MGH staff to ensure that the database software program and interfaces function properly and are upgraded as required. Works with Quality Management and Medical Records to maintain accurate patient databases for coding and reporting. Secondary (Modifiable)Participates in special meetings and work groups as requested by Director of Cardiovascular and participates in professional organizations and user groups.
