The Illinois Department of Transportation is seeking to hire an Executive Secretary I. The successful candidate will, under direction of the Quality and Document Management Services (QDMS) Section Chief, perform responsible secretarial and administrative duties functioning independently within the framework of organizational policies and exercising initiative and independent judgement on the promulgation and interpretation of the bureau policies and programs. Performs a variety of complex clerical and technical functions. Essential Functions Performs duties including keyboarding routine, non-routine, and confidential documents. Performs clerical support for all the QDMS and Grants Sections staff. Implements record retention procedures in compliance with the State Records Act and department policy. Serves as receptionist for the QDMS and Grants Sections. Performs other duties as required or assigned which are reasonably within the scope of those enumerated above. Minimum Qualifications Requires knowledge, skill, and mental development equivalent to the completion of two years of secretarial or business college and one year of secretarial experience, or completion of high school and three years of secretarial experience. Requires the ability to keyboard accurately at 55 wpm. Qualifying State employees in the Upward Mobility Program (UMP) shall have the stated requirements of this classification waived by successful completion of specific proficiency tests and training programs. Preferred Qualifications Prefers advanced proficiency in Microsoft Office (Word, Excel, Outlook) with the ability to independently format, manage, and track complex documents and workflows. Prefers one year of demonstrated experience using SharePoint (or similar document management systems) for document storage, version control, permissions, and records organization. Prefers one year of experience prioritizing confidential work. Conditions of Employment Successful completion of a background screening.
