The Specialist, Academic Administrative Services position plays a critical strategic and operational leadership role in faculty and exempt staff recruitment and retention within the Dental School. The role oversees the full recruitment lifecycle, manages faculty appointments and contracts, and supports international hiring processes. This role partners closely with the Dean, department chairs, and other senior leaders to ensure strategic hiring, equitable employment practices, and sustained faculty and staff excellence. Duties and Responsibilities 1. Direct and oversee the full lifecycle recruitment process for all full-time and part-time faculty and exempt staff positions: - Ensure alignment with institutional strategic priorities. - Lead requisition development. - Advise and guide search committees. - Oversee equitable and compliant hiring practices. - Manage high-level candidate engagement. - Pivot quickly to ensure MU - So. D remains competitive in attracting qualified talent as the landscape for dental faculty recruitment is highly competitive. - Serve as the primary liaison between the Dental School, Human Resources, and the Provost’s Office to ensure efficient, competitive, and legally sound hiring outcomes in accordance with Marquette University best practices. - Recruit faculty at outside meetings such as WDA, alumni gatherings, and ADEA 2. Collaborate with the Dean on the following: - Develop competitive employment offers that align with market benchmarks and internal equity standards. - Lead negotiations related to salary, academic rank, start-up resources, relocation, and appointment terms. - Exercise independent judgment to balance fiscal responsibility, talent acquisition goals, and long-term faculty retention objectives. Partner with the Dean, department chairs, and other senior leaders on the following: - Identify short and long-term faculty and staff workforce needs aligned with program growth, clinical demand, and strategic initiatives. - Develop and present data informed recruitment and retention reports, analyze turnover trends, conduct exit assessments, and implement targeted retention strategies to sustain faculty excellence and continuity .. Manage all processes related to international faculty recruitment, immigration sponsorship, and onboarding. - Serve as liaison between outside counsel, Office of the General Counsel, and MU - So. D to ensure compliance with federal regulations. - Oversee institutional support for international faculty pursuing Wisconsin dental licensure, facilitating successful onboarding and retention of global talent .. Act as the Dental School’s primary resource for faculty and exempt staff regarding human resource policy interpretation, employment regulations, and academic appointments. Provide strategic guidance on complex personnel issues and escalate matters appropriately in coordination with HR and legal counsel .. Direct the preparation, review, and issuance of annual contracts, reappointments, new faculty appointments, and related employment documentation. Ensure contractual accuracy and alignment with institutional policies .. Collaborate closely with Human Resources to ensure consistent application of policies, coordinated resolution of personnel matters, and adherence to university and regulatory standards .. Direct and authorize payroll-related changes including salary adjustment, supplemental compensation, and workload-based pay modifications. Ensure fiscal accountability, compliance with institutional guidelines, and accurate financial reporting .. Responsible for the supervision of staff which includes but is not limited to hiring, performance management, professional development, corrective action, and workforce planning. Required Knowledge, Skills and Abilities Bachelor’s in Business, Finance, Human Resources, or a related field. A minimum of 4 years of related experience. Exceptional verbal and written communication skills for effective interaction with candidates, search committees, faculty and staff. Exceptional organizational skills to multi-task and manage multiple recruitment activities, deadlines, and priorities simultaneously. Knowledge of human resource principles Demonstrated attention to detail, professional attitude and ability to maintain confidentiality and integrity. Ability to lead and facilitate meetings, discussions, and decision-making processes. Flexibility to adapt to changing circumstances and requirements in the recruitment process. Competence in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Working knowledge of all applicable laws related to fair hiring practices. Preferred Knowledge, Skills and Abilities Master’s in Business, Finance, Human Resources, or a related field. Knowledge of dental specialties and pertinent education requirements. Dedication to ongoing process improvements within the dental school with the recruitment process. Evidence of commitment to ongoing professional development.
