Performs moderately complex administrative and program coordination work supporting admissions, recruitment, and applicant processing for graduate health programs. Serves as the day-to-day admissions operations coordinator for the Physician Assistant Studies and Physical Therapy programs, coordinating applicant communications, application processing in centralized application platforms, faculty review workflows, interview logistics, admissions committee support, and admissions data reporting. Primary Responsibilities Owns and manages the application cycle operations for the Physical Assistant (PA) and Physical Therapy (PT) programs, including maintaining application instructions, deadlines, communications timelines, and applicant support. Administers the centralized application workflow steps and maintain accurate applicant records, including supporting Web. Ad. MIT administration where applicable, and ensures applicant status progression is tracked consistently through review milestones. Coordinates file completeness and initial verification processes, including prerequisite tracking, eligibility checks, and calculations or validations required for review readiness, then routes files to faculty reviewers according to program-defined procedures. Facilitates faculty review periods and admissions committee operations by scheduling meetings, preparing agendas and materials, documenting outcomes as appropriate, and ensuring timely completion of evaluations within the cycle calendar. Plans and executes interview processes, including applicant scheduling and communications, interview-day logistics, technology support coordination, hospitality coordination, and post-interview tracking of scoring and decisions. Builds and maintains admissions reporting and dashboards, deliver routine and ad hoc reports, and support data needs tied to program evaluation, continuous improvement, and compliance reporting expectations. Supports pre-matriculation onboarding by coordinating required documentation collection and communications for admitted students (for example, background check and health requirement documentation processes as defined by the program), and coordinating new student events and onboarding communications. Represents the programs at recruitment events, information sessions, fairs, and other outreach activities as needed, including occasional evening or weekend commitments. Ensures admissions operations are executed consistently, on schedule, and in alignment with university policies, program procedures, and program compliance and reporting expectations. Performs other related duties as assigned. Other Specifications Preferred experience working with centralized application services and admissions management systems used in graduate health programs (for example, CASPA or PTCAS workflows and Web. Ad. MIT administration), plus experience supporting faculty review, interview operations, and admissions reporting. Strong customer service orientation and the ability to communicate clearly with applicants, students, faculty, staff, and external partners. Demonstrated ability to manage multiple deadlines, coordinate complex workflows, and maintain high accuracy in database-driven processes Proficiency with standard office and data tools (spreadsheets, reporting, and database systems), with the ability to learn and maintain specialized admissions platforms and university systems used for application processing and reporting. Ability to maintain information security and privacy expectations while managing applicant records and admissions communications. Knowledge of local, state, and federal laws.
