Provides department assistance by performing a variety of duties, including scanning, data entry, copying, alphabetic and numeric sorting, retrieving documents and medical records, chart pick-up, and other tasks. Requires ability to use a wide variety of office equipment including copy and fax machines, telephone, and PC. Job Description. Utilizes scanning functions to capture images of original documents in the Sanford patient medical record and transfers them to the data management system or Electronic Medical Record (EMR). Accuracy and quality are essential as the EMR becomes the patient's legal medical record for the organization. Utilizes designated database for patient records to index and validate paper-based correspondence, electronic files, or scanned images. Database is a complete document management client-server application. Indexes all forms by searching the database for correct document type and assigning patient identifying information. Communicates invalid forms and document types to leadership for inclusion in the database and/or reprinting of the form. Uses the scanning software independently and can perform maintenance to equipment as needed. Uses extensive knowledge of medical record forms and content to perform quality checks on the scanned, indexed and validated documents. Performs quality assurance activities at various workflow intervals to ensure high-quality image capture. Performs work in a timely manner with high attention to detail and accuracy. Work assignments vary based on workload demands and shift assignment. In addition to the duties listed above, work assignments include location-specific duties as designated below: In a Health Information Management (HIM) setting: Prepares medical record documentation for scanning. Locates, retrieves and routes records. Uses facility-specific software to determine record locations. Locates medical records for user requests within specified timeframes. Scans or imports images into data management system. Completes STAT fax workflows in a timely manner. In a Patient Financial Service (PFS) setting: Handles, receives, sorts, and sends mail to the individual who will scan into data management system. Creates mailing labels, affixes labels to mail, and sends mail. Qualifications. High school diploma or equivalent preferred. Prior experience in healthcare environment and knowledge of medical terminology preferred.
