The Danbury Public School District operates a centralized, year-round student registration center located at the Family and Community Engagement Center on Osborne Street. The Central Registration Administrative Assistant (Registrar) plays a key role in supporting the registration and enrollment of all newly entering students, school readiness families, and the Office of Family, School and Community Engagement. The Registrar works collaboratively with a team of full-time Registrars to efficiently manage student registrations with a high degree of accuracy including coordinating and maintaining registration data. This position provides bilingual support to families throughout the online registration process, including assisting with completion of applications, validating student and Danbury residency documentation, and coordinating required language assessments and kindergarten screenings. The Registrar also serves as a resource to families by providing information on district-wide programs, services, and community resources by supporting administrative duties needed by the Office of Family, School, and Community Partnerships. ESSENTIAL DUTIES AND RESPONSIBILITIES:Customer Service and Communication:Receives, greets, and directs visitors to the Center seeking to register students for school in a professional and courteous manner. Answers telephone calls, provides information, and takes accurate and complete messages. Assists guardians and families with online registration, both by telephone and in person using Center kiosks. Communicates effectively with families, staff, and administrators, providing information on district programs and services. Registration and Enrollment Operations:Works independently and as part of a team of Registrars to ensure the smooth daily operation of the Center\s registration and processing functions. Assists the Director of School Readiness with onsite interviews, tours, and student registration. Reviews, verifies, and validates student information and supporting documentation to ensure completeness and compliance with district requirements. Schedules and coordinates language assessments, kindergarten screenings, and other required enrollment activities. Data Entry and Systems Management:Performs data entry with a high degree of accuracy using student information systems such as Power. School. Prepares a wide range of correspondence, reports, and documents using Microsoft Word, Excel, and Google Workspace. Utilizes advanced functions such as mail merge and data tracking tools. Translates documents and proofreads documents for content accuracy, grammar, punctuation, and spelling. Reporting and Data Coordination:Collaborates with the Director of Data, Assessment & Research, as needed, to compile and report student registration data to Central Office. Maintains accurate, up-to-date real-time records of student registrations, including tracking by school throughout peak registration periods. Collaborates with the Director of Family, School, and Community Engagement to support family events, the New Promise Program, Family University, preparation of program materials, Parent Square, and other duties as assigned. Records Management and File Maintenance:Maintains and improves office filing systems under the direction of the Leadership team. Organizes and maintains student records and related documentation, including confidential files. Prepares and coordinates the transfer of student records to school buildings across the district as registrations are completed. Additional Responsibilities:Demonstrates flexibility in supporting office operations and managing shifting priorities. Performs related duties as assigned. QUALIFICATIONS:Education and Experience:High school diploma or equivalent required; Associate or Bachelor degree preferred. Minimum of four (4) years of experience in clerical, administrative, or office support roles. Experience working with student information systems (e.g., Power. School) or similar databases preferred. Skills and Abilities:Strong interpersonal and communication skills, with the ability to work effectively with diverse populations. Bilingual (Spanish or Portuguese) preferred, with strong oral and written communication skills. Demonstrated ability to maintain confidentiality of sensitive information. Strong organizational skills and attention to detail. Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace. Ability to work both independently and collaboratively as part of a team. Strong problem-solving skills and ability to adapt to changing priorities. Knowledge of office procedures and administrative practices. WORKING CONDITIONS:Pay Grade/ Level: Grade 4 52-week position. Starting hourly rate: $27.69 Terms and conditions of employment are in accordance with the UPSEU Union Agreement. REPORTS TO: Director of Data, Assessment & Research, Coordinator of Central Registration and Director of Family, School and Community Engagement.
