DEFINITION
Under direction, performs specialized clerical and highly technical work in support of assigned area and related court activities; serves as a lead worker in an assigned unit. DISTINGUISHING CHARACTERISTICS: This advanced journey level assignment requires incumbents in this class to assume more complex clerical and technical responsibilities with greater independence, in comparison with the lower Court Processing Assistant (I, II & III) classifications. This Court Processing Assistant IV is distinguished from the Court Supervisor classification as incumbents of the latter classification are responsible for the full scope of supervisory duties, while the incumbents in the lead worker classification are expected to provide assistance to supervisory staff in planning and implementing work procedures, staff training or other such tasks.
TYPICAL DUTIES
Receives and processes legal documents related to an assigned area (e.g. Civil, Criminal/ Traffic, Probate, Juvenile, Family Law, etc.). Accesses databases and court case management systems to retrieve, enter, and/or update information. Reviews documents for completeness, timeliness, and conformity to legal requirements. Assists the unit supervisor in coordinating the unit staff’s work schedule. Trains staff on court processes and procedures. Researches, updates and/or voids transactions related to data entry, payments, filing, record keeping, and other aspects of case processing. Researches and provides technical assistance for specialized transactions, complex or difficult assignments. Provides coverage in the assigned unit as needed to meet workload demands and the unit’s operational goals. Answers public inquiries; explains filing processes and procedures related to court operations; provides basic information needed to file routine documents. Effectively communicates with and maintains effective working relationships with judicial officers, court employees, governmental agencies, members of the public and others encountered in the course of business. Delivers and retrieves court files, exhibits and documents to and from various courtrooms, court locations, storage locations, and/or departments. Oversees cashiering duties and ensures that cash receipts are accurately disbursed, recorded, processed, and secured. Maintains court records and the confidentiality of such records in accordance with government standards, laws, regulations, court procedures and policies. Creates and updates court procedures related to the assigned unit. Follows directions and carries out oral and written instructions related to assigned unit or other areas as needed during business. Provides the highest quality of customer service by exercising tact, courtesy and excellent judgment at all times when communicating with internal and external customers. Attends various meetings, conferences, and training sessions as needed. Participates in special projects. Performs other duties as assigned.
MINIMUM REQUIREMENTS AND QUALIFICATIONS
EDUCATION AND EXPERIENCE: Graduation from high school or its equivalent. Three (3) years of current full-time experience in court operations at a Superior Court in California, excluding Collections and Fiscal departments, performing duties at various desks or functions in the assigned department. For example, if assigned in the Civil department, performing duties at the front counter, judgment desk, and answer/motion desk will meet the multi-desk or function qualification. Experience working in more than one (1) court operations department is desirable but not required. KNOWLEDGE, SKILLS AND ABILITIES - Knowledge of: Codes, rules, policies, procedures and legal terminology applicable to a wide variety of court operations and courtroom support functions pertinent to the assigned areas of responsibility, including but not limited to processing of legal documents, judicial officers support, calendaring and preparation of cases for court, custody of exhibits, juror service and other matters. Computerized and standard office administrative practices and procedures. Computer and other standard office equipment. Principles and practices of customer service and telephone etiquette. General functions of various court units. General functions of other governmental agencies encountered in the course of business. State and local statutes and Rules of Court that govern general court operations. Principles of basic customer service and telephone etiquette. Regulations and procedures governing the maintenance and disclosure of public records. Money handling procedures. Principles and practices of effective business communication, including spelling, grammar and punctuation. Work Environment:Shared office environment with varying lighting conditions and degrees of hot and cold air. May be required to travel for work, meetings, conferences or training. Must be able to traverse indoors and outdoors, over uneven surfaces and pavement in all types of weather. Constant interruptions and various office noises, with a high volume of telephone and personal interaction. Exposure to dust, copier and printer toners. Additional Physical Requirements Information Specific to Records & Exhibits Department:Use a personal computer including keyboard, mouse and monitor for extended periods of time. May be required to sit for extended periods of time. Ability to work in an environment that includes various office noises, frequent interruptions and simultaneous attention to multiple tasks. Ability to inspect and verify various forms of identification, official records, and other documents presented by court clients. Frequent grasping and/or manipulation of files, binders, pieces of paper or small objects. Frequent hand, finger and/or wrist motion. Ability to reach at or above shoulder level. Ability to work alone or closely with others. Minimal bending, stooping, squatting, twisting, or working on irregular surfaces. May require movement throughout the courthouse and to other court locations and units delivering and/or retrieving forms, files, and materials. Ability to lift boxes, files or materials up to 20 lbs. Additional Physical Requirements Information Specific to Jury Services Department: Ability to speak in public to provide jurors orientation.
