What you will be doing: You’ll report to the director, finance & administration. Directly supervises the records clerks. Responsible for management of student records, accountability and data integrity in compliance and adherence to government and management directives. ESSENTIAL FUNCTIONS: Plan, coordinate and supervise the administrative, program auditing and student records systems activities of the department. Provide staff training, evaluate staff center performance and recommend and implement department and personnel changes as approved by the director, finance & administration and coordinated with the manager, human resources prior to implementation. Provide cross-training to staff to provide adequate back-up coverage. Develop departmental budget; monitor and control expenditures. Review and recommend changes to budget authorizations. Assist in the development and implementation of new and revised policies and procedures affecting student records. Review and audit all assigned areas regularly for contractual compliance and effectiveness of delivery of services to students. Prepare related reports. Monitor the quality and accuracy of student records by ensuring forms are completed in a timely and accurate manner, data is input or posted to files; maintain reports. Audit student records to ensure compliance with regulations. Serve as the point of contact for MTC data integrity and accuracy policies. Respond to student and staff inquiries regarding student records; ensure Privacy Act compliance; provide technical assistance on student records as necessary. Maintain a safe and clean work area that models high standards for a work environment. Provide positive, quality customer services to students, staff and other center customers. Participate in student employability programs and activities. Support, promote, and enforce the Job Corps’ Zero Tolerance Policy. Promote the development of Career Success Standards by modeling appropriate behaviors, mentoring students where necessary and monitoring both positive and negative behaviors through interventions. Maintain accountability of students and property; adhere to safety practices. It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management EDUCATION & EXPERIENCE: Associate's degree and two years related experience, one of which should be supervisory. Directly related experience may be considered in lieu of formal education requirements. Experience with youth, excellent written and verbal communications skills and computer proficiency required.
