The Front Desk Assistant creates a welcoming and informative entry experience and supports the wider community by maintaining campus offerings. Our team's operating hours are from 7:30 am-10:00 pm during weekdays and 9:00 am-5:00 pm on weekends. We are currently seeking to hire a Front Desk Assistant for weekend (9 am-5 pm) and weekday closing shifts (5 pm-10 pm). Scheduled weekly hours will be 10-21 hours per week (15 hours on average)RESPONSIBILITIES INCLUDE:Coordinates the entry area experience:Provides a welcoming, inclusive, and informative experience for visitors to campus - leads people through the check-in process and connects them to their host or necessary resources. Communicates effectively with other operations team members (verbally and through documentation) and takes a team-oriented approach to their work. Handles conflicts or the unexpected with diplomacy, tact, and common sense. Can handle confidential information with discretion. Addresses day-to-day troubleshooting questions brought up by campus users. Works with IT/ AV to ensure technical support for patrons, especially in regards to supporting evening classrooms. Coordinates with campus security guard for campus safety. Administrative and clerical tasks:Co-manages shared email account. Receives/sends mail and packages. Supports students or employees learning how to access campus or digital University resources, offers general directions of campus/class schedules. Occasionally, setting up meetings or booking rooms. Escalates specific questions to the appropriate team members. Creates IDs cards and completes other repeating or ad hoc administrative tasks. Maintains campus amenities. Maintains a high standard of aesthetic organization of campus fixtures, furniture, and equipment. Takes initiative to notice any faults and escalates to CET for addressing. Light resetting of spaces as needed for the next day's opening. Restocks communal spaces, like coffee machine/supplies in the kitchen or office supplies around campus. Tends to basic cleaning and tidying of kitchen spaces. Occasionally assists in setting up, arranging or breaking down meetings or events. Operations support. In coordination with operations leadership, facilitates campus projects by providing status updates and communicating with vendors. Receives campus feedback and fields questions and concerns to operations leadership in a detailed manner. MINIMUM QUALIFICATIONS:Demonstrate a customer-first, can-do, anything-is-possible attitude. The successful candidate is often the first face of the Roux Institute and therefore must demonstrate our values of a welcoming, inclusion, and dynamism to our community members. Demonstrate maturity, diplomacy, common sense, close attention to detail, professionalism and ability to prioritize and adapt in a fast-paced environment. Effectively troubleshoot and resolve office technology issues and has the ability to organize, manage, and conceptualize projects. Excellent writing and analytical skills as well as strong interpersonal and communications skills are a must. Excellent organizational and time-keeping skills. Excellent computer skills - effectively utilizing Microsoft Office applications such as Word, Excel and PowerPoint, or ease in learning new applications. Position Type. Temporary.
