The Department of Corrections is seeking a highly motivated and qualified Office Assistant 3 - Health Services for the Monroe Correctional Complex (MCC) located in Monroe, WA. This position supports Health Services. Working under the direction and supervision of the Secretary Supervisor for MCC, the incumbent ensures the following:Kites, Grievances, and stakeholder correspondence received, accounted for and responded to timely and in accordance with policy. Ensure documents are kept safe per HIPAA, PREA, federally mandated laws, and local state RCW’s. Medical records are made available to all clinical and administrative staff on a consistent and timely basis. The incumbent consistently monitors the content of health records to ensure. Only appropriate documentation exists within the chart,Each document is complete with appropriate and accurate information,Accurate per DOC/ DOH Standard Operating Procedure. Duties Kite, Grievance, and external stakeholder (OCO, DRW, Etc.) Tracking. Ensure Kites, Grievance, and external stakeholder communications are accurately logged, responded to timely and filed if appropriate for HS staff. Review kites and grievances for completeness, accuracy, signatures. Follow up with health services staff when document is incomplete. Provides on the spot instruction to bring document into compliance. Ensure documents are formatted correctly. Use of Offender Management Network Information (OMNI) system to research and maintain accurate health record integrity. Staff support. Prep and fax offsite consults. Request provider notes from offsite providers. Monitor the Patient Services Representative (PSR) fax email, and distribute the faxes that come in. Document receipt of offsite paperwork. Assist in answering the PSR central line and transferring to the proper PSR. Answer requests from authorized personnel for information recorded in patients’ records in accordance with prescribed policies. Prepare health records for provider/practitioner appointments and review as needed. Prepare trip medical packets and deliver to transport. Pull needed information from Correctional Institution Pharmacy Software (CIPS) and Interpatch to include in medical packets. Assist Medical Records. Daily filing of all appropriate documentation into the patient health record. Ensure documentation from community facilities are reviewed and signed by referring provider before filing. Ensure health record information is accurate, confidential, complete and legible. Research health record to ensure only information requested is transmitted. Workflow Management / Quality Improvement / Place Safety Muster. Organize daily workflow. Participate in Health Services Quality Improvement activities as appropriate. Participate in Health Services Place Safety Muster as appropriate. Qualifications Required Qualifications:Ability to type a minimum of 40 words per minute. Intermediate word processing and spreadsheet skills. Handle stressful environments: Adapt to and positively handle the stress of a high-paced work environment. Multi-Task: Ability to multi-task, prioritize and complete work assignments in a fast paced, detail-oriented environment. Share information appropriately: Maintain confidentiality of information learned through position that is protected by Department of Corrections policy, federal and/or State law. Keep supervisor informed of need-to-know items; share complete and accurate information. Policies & procedures: Know, understand, and consistently demonstrate ability to follow all applicable agency policies, procedures, and guidelines related to custody and security. Stay current as policies and procedures change. Team player: Demonstrate team approach to providing excellent-customer service. Communicate effectively both internally and externally. Preferred Qualifications:High school diploma or equivalent. AND Two (2) years of clerical experience. Equivalent education/experience.
