As a CBRE Administrative Services Coordinator, you’ll joina small, collaborative team that helps manage medical office buildings whilehandling a variety of administrative responsibilities. Your focus will be on supporting the Real Estate Managementteam with essential tasks such as accurately coding invoices and ensuringsmooth administrative processes. You’ll also provide friendly, professionalcustomer service to tenants and vendors, building positive relationships whilemaintaining strong attention to detail. - - What You’ll Do: - - Review,allocate and accurately code invoices for processing. Assistthe team with various administrative tasks. This includes answering phones,communicating with tenants, filing and copying. Maintaininsurance certificates and leases. Collaboratewith building technicians and external vendors to ensure timely and effectivecompletion of facility maintenance and repair projects. Assistwith lease administration tasks, including lease setup, amendments, andreporting, to ensure accurate and timely management of lease agreements. Processand submit invoices for payment by accurately entering them into the accountingsystem and forwarding original documents to the accounting department forprocessing. Communicatewith tenants regarding rent payments, including phone calls and correspondence,to ensure timely payment and resolve any payment-related issues. Applyestablished procedures and guidelines to resolve routine issues and completetasks with minimal deviation from standard processes. Responsiblefor delivering results through well-defined duties, methods, and tasks, withclear expectations and objectives. Producehigh-quality work by following established procedures and guidelines, withongoing oversight and support from a supervisor. - - What You’ll Need: - - High. School Diploma or GED with a minimum of 2 years of job-related experience. Experiencewith basic accounting principles, including understanding and processinginvoices. Abilityto follow established procedures and maintain quality standards in daily workactivities. Effectivecommunication skills to convey clear and concise information. Property Management or Real Estate experiencepreferred. Experiencewith managing vendors preferred. Workingknowledge of Microsoft Office Suite – Excel, Word, Outlook, PowerPoint Highlyorganized and detail-oriented individual with a curious and analytical approachto problem-solving. Basicmath skills required, including proficiency in calculating percentages,discounts, and markups.
