Provide comprehensive administrative and clerical support for the Technology Department, including but not limited to office workflow management, scheduling, data entry, correspondence, special projects, and administrative assistance to the Executive Director of Technology and department management team. This position requires discretion, confidentiality, and the ability to manage multiple priorities in a fast-paced environment. Essential Duties. Perform routine office duties in a professional manner, including answering phone calls, relaying messages to staff members, responding to general inquiries, serving as the department receptionist, and greeting and directing visitors to the appropriate staff member. Provide administrative support to the Executive Director of Technology and Technology Department managers, including calendar management, scheduling and coordinating meetings, drafting correspondence, preparing agendas, taking and distributing meeting notes. Maintain confidentiality and exercise discretion when handling sensitive departmental information, personnel matters, and district business. Utilize Microsoft Office Suite proficiently, including Outlook for email and calendar management, Word for document creation and correspondence, Excel for data tracking, spreadsheets, and reporting. Utilize specialized computer programs to assist with technology work orders and transfer information and data as needed. Assist in technology equipment check-in and check-out for staff members. Assist with district office shipping and receiving on a daily basis. Assist with PDL device inventory, tracking, and distribution as needed. Maintain and organize departmental records, files, and documentation in both electronic and physical formats. Complete training courses relevant to job requirements on an ongoing basis. Provide clerical and administrative support to Technology Department managers as directed by the Executive Director of Technology. Other Duties. Perform other tasks as assigned by the Executive Director of Technology. Job Specifications. Performance of this job will be evaluated annually in accordance with provisions of the district\s policy on Evaluation of Support Personnel. Minimum Qualifications (Knowledge, Skills and Abilities Required)High school diploma or equivalent required. Previous clerical or administrative experience required; experience supporting multiple supervisors or managers simultaneously preferred. Proficiency in Microsoft Office Suite required, with demonstrated competency in Outlook (email and calendar management), Word (document creation and formatting), and Excel (data entry, spreadsheets, and basic reporting). Proficiency with various computer applications and the ability to learn new software as needed. Strong written and verbal communication skills with correct English usage, grammar, spelling, and punctuation. Ability to maintain confidentiality in all aspects of the job. Ability to manage multiple tasks and priorities with frequent interruptions. Ability to work collaboratively as part of a team and support multiple members of department leadership. Strong organizational skills and attention to detail. Physical Requirements.
