There is an immediate opening for an Administrative Sales Assistant in our New York Metro team to support a client centered financial advisory group that markets insurance and investment products. The individual will assist and support a team of 3-4 partners. This individual will work closely with the internal sales team in an administrative capacity assisting with the development and maintenance of business in conjunction with the financial advisor team. The ultimate goals will be to grow the practice, provide exceptional client service and meet the practice’s annual production goals. What You’ll Be Doing. Have a working knowledge of Investment products. Knowledge of Life Insurance and Annuities products is a plus. Organize and maintain client E-filing systems. Assist in establishing and maintaining “ideal client experience” for A & B clients. Be the clearing point for all mail and initial service contacts – respond to non A & B clients (C&D clients). Track all open applications through issue and delivery and assist partners in resolving open requirements during application process. Prepare pre-case material in anticipation of client meetings. Schedule, confirm/cancel appointments, send other appropriate correspondence and continually communicate & follow-up with financial advisors/partners. Prepare pre-arranged reports on scheduled basis, e.g. upcoming birthdays, holiday card lists, annual reviews, client appreciation events, etc. Promote firm values throughout group. Prepare outgoing correspondence as needed. Monitor office supplies and maintain inventory of marketing materials. Standardize client review process and update necessary files. Develop and administer marketing data base which includes client and prospect information, mailing lists, access to financial reports, etc. Provide practice ideas and improvements to the partners. Create new business opportunities when communicating with and servicing clients. This position is an on-site role working in the NY Metro office to foster collaboration and connection. The base salary for this position is $65,000. Actual base salaries vary based on skills, experience, and geographical location. In addition to base pay, Equitable provides compensation to reward performance with base salary increases and spot bonuses. Associate Degree or 2 years professional work experience in office environment as Administrative Assistant role Preferred Qualifications. Experience in the financial services industry preferable. Trustworthy, reputable and ethical. Appropriate written, grammatical and math proficiency. Excellent organizational skills with attention to detail. Pleasant interpersonal and telephone communication skills are essential. Two years administrative experience, computer skills including Windows and Microsoft Office Suite (Word, Power Point, Excel, Outlook, etc.)Outstanding interpersonal skills required for communicating with clients and coworkers along with demonstrated telephone etiquette, courtesy and diplomacy. Outstanding customer service skills and the ability to perform administrative responsibilities and work within a team environment. Proficiency with personal computers and working in a Windows environment. (Experience with client management database programs preferred.) Skills. Communication: Understanding of the importance of insightful listening and communicating and ability to provide information and messages in a way that produces clarity and impact. Confidentiality: Knowledge of practices and policies governing disclosure of information about the organization, its business activities, and employees; ability to apply this knowledge appropriately to diverse situations. Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation. Project Administration: Knowledge of project administration best practices and ability to use organizational strategies, practices and tools for administering projects. Project Management: Knowledge of effective project management strategies and tactics; ability to plan, organize, monitor, and control projects, ensuring efficient utilization of technical and administrative resources to achieve project objectives.
