This position provides high-level administrative, operational, and strategic support to the AVP and the enrollment management team. This position serves as the primary point-of-coordination for the AVP’s office, ensuring smooth daily operations, effective communication, and alignment across all EM departments/offices. This position must abide by strict confidentiality requirements, work effectively and efficiently with students, faculty, and staff in a fast-paced environment, and successfully initiate, execute, and complete multiple projects in a timely and efficient manner.
Essential Job Duties
Provide comprehensive administrative support to the AVP, including calendar management, meeting coordination, travel arrangements, and expense processing;Demonstrate exceptional, student-centered customer service by delivering timely, accurate, and professional support to students, faculty, staff, and community stakeholders;Manage and prioritize correspondence, emails, phone calls, and requests on behalf of the AVP, exercising discretion and sound judgement;Prepare agendas, materials, and briefing documents for meetings, leadership councils, and committees;Take accurate meeting notes and manage follow-up actions to ensure timely completion of deliverables;Serve as the central administrative hub for the EM team;Assist with budget management for all EM departments/offices;Coordinate logistics for division-wide meetings, retreats, events, and professional development activities;Maintain office records, files, and documentation in compliance with institutional policies and FERPA regulations;Assist with onboarding and offboarding processes for EM staff;Act as a liaison between the AVP for EM units, senior leadership, faculty, and external stakeholders;Draft and edit correspondence, reports, presentations, and internal communications;Support cross-functional collaboration among EM departments/offices;Assist with compiling enrollment data, reports, and presentations for leadership review and decision-making;Track timelines and project milestones for central enrollment initiatives;Support special projects related to recruitment strategies, yield initiatives, and process improvement;Handle sensitive information with the highest level of confidentiality and professionalism;Ensure compliance with institutional policies, accreditation standards, and federal/state regulations related to student data;Perform all other duties as assigned. ADDITIONAL DUTIES:Assist in supporting EM departments/offices with phone, email, and walk-in traffic.
Minimum Qualifications
High school diploma/equivalent, required; One year of related experience, required;Some college education/completion of a bachelor’s degree is preferred; Prior experience working in higher education, preferred. LICENSES, CERTIFICATIONS, OR REGISTRATIONS: None. KNOWLEDGE, SKILLS, AND ABILITIES:Ability to communicate effectively, both verbally and in writing, with various levels of internal/external customers; Ability to communicate in a professional, welcoming, and inclusive manner with various levels of internal/external customers; Working knowledge of contemporary administrative and office practices/procedures; Skills in customer service with a customer service mindset;Detail-oriented with the ability to proofread and review documents/correspondence;Ability to work with minimal supervision and maintain confidentiality; Ability to coordinate activities with other employees; Ability to make decisions in accordance with established office procedures; Knowledge of or the ability to quickly learn currently-utilized computer applications/software, (Canvas, Slate, Banner, Degreeworks, Courseleaf, or similar systems) and the ability to learn newly-implemented applications/software; Knowledge of and the ability to extensively use Microsoft 365 including Outlook, Word, Excel, PowerPoint, Google Documents, Adobe Photoshop, and Canva;Ability to design digital and print promotional materials, e.g. posters, brochures;Knowledge of event-planning activities; Knowledge of various forms of social media outlets; Ability to assist with events during evening hours, weekends, and/or holidays, as requested.
