Strategic Management Solutions LLC (SMSI) is seeking an entry-level Administrative Assistant to support daily operations and deliver excellent service to employees and leadership. The ideal candidate is proactive, detailoriented, and a strong communicator. This role requires flexibility, quick learning, confidentiality, and the ability to troubleshoot issues, solve problems efficiently, and escalate when necessary. Duties/ Responsibilities. Maintain coverage of the reception and front desk area. Coordinate with Information Technology (IT) to ensure adequate services and equipment are available for staff. Serve as the point-of-contact for all office matters. Order and maintain supplies and office furniture inventory. Draft and edit executive-level correspondence. Create documents, reports, letters, and presentations. Provide administrative support for projects and staff meetings. Research governmental policies and procedures as assigned. Assist with processing and submitting employee travel preapprovals, provide guidance to employees, and ensure timely, accurate submissions to SMSI clients. Support the SMSI leadership team with administrative tasks in support of ongoing business operations (time and expense management, communications, purchasing, contract management, etc.)Support and assist the SMSI leadership team in preparing, updating, and delivering policies, procedures, plans, reference guides, and training requirements. Required Skills/ Abilities 3 to 5 years of administrative experience in a professional office environment. Excellent communication skills, both oral and written. Experience scheduling meetings and maintaining calendars for conference rooms and the leadership team. Advanced proficiency in Microsoft Office applications, including Teams, Word, Excel, PowerPoint, and Outlook. Excellent organizational skills and attention to detail with the ability to prepare, proofread, edit, and format complex reports, presentations, and other documents using the Microsoft Office suite. Able to multitask, work independently, and prioritize tasks efficiently. Resourceful with strong problemsolving skills in daily administrative support. Handles customer and visitors interactions accurately, professionally, and promptly. Positive and proactive collaboration and interaction with peers and team members. Maintain strict confidentiality. Other duties performed as assigned. Education/ Citizenship. High School Diploma or equivalent. Must be a U.S. Citizen. Travel. Some travel may be required. Work Setting. Professional environment. Works in the Oak Ridge, TN office 5 days a week. Weekly schedule of 30 hours per week with additional hours as needed. Physical Demands. Prolonged periods of standing, sitting, and walking. May require lifting up to 15 lbs
