Under general supervision, the Corporate Executive Assistant performs administrative work of a complex and confidential nature for an executive level officer. This team member has contact with other departments, as well as senior management and high-level officers both internal and external to GM Financial. In this role you will:?Prepare and distribute internal and external correspondence ensuring the integrity of confidential information - includes but is not limited to dictation, meeting minutes, memos, reports, and other professional communication. Screen and route telephone calls while accurately recording and routing messages on a timely basis. Review and distribute incoming mail as well as collect and route all outgoing mail. Schedule and coordinate appointments, meetings, conferences, and conference calls. Maintain and update electronic calendars and task lists for management assuring that complete information is available for all matters. Establish and maintain hard copy and/or electronic filing systems for departmental data, documents, and other materials. Prepare and distribute professional quality documents, reports, or presentations. Arrange all necessary travel arrangements that include airfare, lodging, and rental car. Copy all invoices, and distribute to appropriate individual for approval, while handling any invoice problems. Promote a positive, cooperative and professional attitude when interacting with other departments, customers, dealerships, and vendors. Research information as needed. Perform specialized administrative duties to support specific work unit as needed. Participate on special and confidential projects as needed. Finalize prepared documents (formatting, grammar/spelling, page numbers) prior to dissemination. Arrange travel itineraries based on corporate policy and personal preferences. What makes you an ideal candidate? Knowledge and Skills?Administrative and clerical procedures and systems. In-depth knowledge of GM Financial operations, policies, staff, and procedures. Thorough understanding of corporate executive and general office procedures. Customer service strategies and techniques (e.g., handling customer complaints, checking for customer satisfaction, ability to anticipate needs and offer assistance)Working knowledge of Microsoft Office products, Word, Excel, Outlook, PowerPoint, Access, and Project. Must have proficiency in a full range of office responsibilities and procedures. Ability to make independent decisions, solve problems, and exercise discretion relating to the performance of day-to-day duties. Ability to multi-task and meet tight deadlines. Ability to work independently with limited supervision. Advanced and accurate typing and word processing skills. Advanced grammar, spelling, and proofreading skills. Excellent organizational, oral, and written communication skills. Handling confidential matters and information. Operating basic office equipment and software applications Education & Work Experience. High School Diploma or equivalent required; Bachelor’s Degree and/or completion of executive assistant courses preferred 5 years of experience performing complex executive assistant duties, with experience performing administrative duties for executive level management preferred. Experience interacting with and supporting senior and executive levels of management required. Demonstrated ability to work independently and accurately with attaining a high level of accountability required. Proven experience managing and prioritizing access to senior and executive levels of management required
