Duties and Responsibilities
The City of Santa Clarita is currently recruiting for a part-time, temporary, seasonal (PTS) Office Assistant to provide administrative support within the Human Resources division. Under the supervision of the Human Resources Manager, this position will work in a customer-service-oriented, high-profile environment at the Human Resources front counter at City Hall. This position is expected to work up to 40 hours per week, 7:30 a.m. – 4:30 p.m., Monday – Friday. This assignment is expected to last up to six months but could end earlier or be extended. Duties and Responsibilities: - Provides front counter customer service, including greeting patrons, answering phones and emails, and providing general information to visitors and callers - Effectively addresses issues and concerns with patrons as they arise - Processes and distributes incoming mail and emails to the appropriate Human Resources personnel - Clerical support reviewing, inputting, maintaining, auditing, or tracking employee or candidate records - Responds to verbal and written verifications of employment - Supports the Human Resources team with various administrative tasks such as filing, creating file folders, photocopying, and organizing documents - Welcomes and checks in candidates for interviews, administers exams, and distributes panel notifications during the interview process - Process a variety of confidential forms, including City employee Personal Information Change forms - Tracks and routes letters for signatures, ensuring delivery and timely completion - Assists with managing the City’s Access Device Program, inventories, and tracks daily requests - Occasionally handles monetary transactions - Attends meetings and training sessions as directed - Creates and posts a monthly volunteer log, and sends the log to Volunteer Engagement at the conclusion of each month - Creates and sends Employee Development Department (EDD) and Emergency Operations Center (EOC) reports - Coordinates work orders for printer and facility repairs - Maintains organization of common areas - Performs other duties as assigned
Education and Experience
- High School Diploma or GED or equivalent - Minimum of two years of experience providing exceptional administrative support within a fast-paced, professional environment - Human Resources experience is highly desirable - Any combination of education and experience that provides equivalent knowledge, skills, and abilities will be considered
Knowledge and Abilities
- General understanding of human resources administration and the ability to provide support - Strong verbal communication skills with the ability to remain poised and maintain a professional appearance - Exceptional customer service skills and the ability to effectively respond to and address public and employee questions - Strong interpersonal skills and the ability to develop and maintain effective working relationships with employees, managers, and residents - Demonstrates a reliable and responsible work ethic, demonstrates patience, and has a proactive, can-do attitude - Strong communication and listening skills and the ability to communicate verbally and in writing clearly, concisely, and effectively - Strong organizational skills while handling a heavy workload and organizing time and resources efficiently; proactively following up with employees, managers, and other Human Resources staff to communicate status updates - Exceptional attention to detail and ability to maintain extensive and accurate records and ensure work is thorough and professional - Strong computer skills and the ability to use Microsoft Excel to track information; Microsoft Word to prepare memos and letters; and Microsoft Outlook to communicate with staff and manage deadlines; and third-party databases to accurately update information - Ability to maintain confidentiality, exercise professional judgment, and conduct oneself ethically - Reliable team player and the ability to work independently as well as collaborate as part of a team - The ability to lift, drag, and push files, paper, and documents weighing up to 25 pounds
