The New Berlin Recreation Coordinator is responsible for overseeing, implementing, instructing, and evaluating a variety of New Berlin Recreation programs and events. In addition, the Recreation Coordinator provides professional, effective, and efficient clerical services to the public by performing a variety of clerical and administrative duties including receptionist responsibilities for a portion of the workday. This is an hourly position, not-to-exceed 40 hours per week. This is a Sunday - Thursday position with the following hours: Sunday, 8:00 am - 4:00 pm, Monday- Thursday, 12:30 pm-9:00 pm. Hours may vary based on program needs. During assigned shifts, this position serves as the primary on-site lead for evening and Sunday operations, providing coordination, customer service, and operational support for programs and facility use.
Examples of Essential Duties
Provides direct program supervision and leadership of assigned activities. Additionally, this position will provide facility supervision for the New Berlin Activity and Recreation Center as well as for other off-site program locations. Serves as primary point of contact for particpants, members, and visitors ensuring a high-quality, welcoming experience at all times. Works in conjunction with the Recreation Specialists in planning and supervision of assigned programs including developing new and expanded program services. Processes Parks & Recreation registrations/reservations, answers related questions, collects associated fees, and processes credit card payments including daily balancing, and processing of refunds. Creates newsletters, flyers, email correspondences, and other department documents, by utilizing Microsoft, Google, and graphic design software programs. Prepares purchase orders, processes and tracks invoices including follow-up with vendors and preparation of necessary monthly reports. Assists with the preparation of program materials and schedules. Answers incoming calls, responds to division emails, and assists with social media accounts. Assists Recreation Specialists in planning and supervision of assigned programs. Makes recommendations regarding program content, facility/equipment needs, and program evaluation. Assists Recreation Specialists in personnel planning and training for assigned programs. Conducts training for designated staff. Interviews and recommends for hiring, supervises, and evaluates assigned recreation program staff as required. Recommends purchases of necessary program supplies and equipment and maintains related Division inventories. Makes purchases for the Division within respective program budget limitations, as authorized by the Recreation Specialists and according to Department and Division policies. Assists Recreation Specialists in assuring appropriate facility and equipment uses, and implements necessary controls and coordination for assigned program facility sites, and ensures programs follow safety standards. Maintains good public relations with staff and the public at all times. Assists in developing and maintaining excellent customer service efforts. Submits invoices, requisitions, and revenues to the Recreation Specialists. Assists Specialists in maintaining appropriate program revenue controls for assigned programs. Submits other related program records and reports as required. Provides on-site direction and support to part-time staff, instructors, and rentals during programs and events. Responsible for following City policies and procedures for all work-related incidents and respond to emergencies as directed. Performs any other duty related to assigned programs as may be required by the Recreation Specialists.
Minimum Qualifications
Associate degree in Recreation Administration or related field. Minimum one year experience in recreation program planning and supervision. Valid Wisconsin Driver's License
