The Administrative Assistant to the General Counsel performs district-based duties associated with providing administrative support to the General Counsel in the coordination of legal/administrative projects and services. Performs job-related duties as assigned. ESSENTIAL FUNCTIONS Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing PXU in a positive light. Maintains calendar deadlines, filing dates, and the case management system; calculates timelines for all discipline and outside litigation, coordinates outside litigation regarding contact with District employees. Interfaces with district and school personnel. Performs customer service functions; provides assistance and information to the outside public; acts as the receptionist to the Legal Services Department; initiates problem-solving as necessary. Greets visitors; receives and screens telephone calls; responds to inquiries on a variety of matters; responds to emergency calls from schools; takes/relays messages or directs calls to appropriate personnel; sends voice mail; provides information, receives requests and complaints and routes individuals to proper department or individuals as appropriate. Schedules meetings and travel arrangements; registers Legal Services staff for seminars and conventions and prepares travel reimbursement reports. Maintains comprehensive department law records, includes entering case/matter management data into a case management system, opening, maintaining, and archiving files. Prepares trial and hearing exhibits and notebooks for termination hearings. Compiles necessary documents for outside investigators and hearing officers. Coordinates daily, weekly, and monthly schedules; schedules daily meeting and appointments. Performs miscellaneous functions as requested by General Counsel. Assists in the selection of new equipment and furniture; periodicals, and supplies, as needed. Coordinates and prioritizes work plan with supervisor; adjusts work plan to address unscheduled events. Operates a variety of machinery, equipment, and tools associated with department activities, which may include a copy machine or fax. Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs. Responsible for keeping up to date on current technology, as job appropriate, being used by PXU. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position. Responsible for timely and accurate information they maintain as part of their job responsibilities. May perform some legal research. REQUIRED QUALIFICATIONS Education, Training, and Experience Guidelines: High school diploma or GED required; job-related associate degree preferred, completion of a formal paralegal training program is preferred. Seven years of secretarial, office management or equivalent experience, preferably in school law or administrative law is preferred. Knowledge of legal proceedings and procedures that relate to school and administrative law is preferred. Knowledge of legal citation and retrieval. Knowledge of assigned department forms, rules, procedures and guidelines is preferred. Knowledge of legal terminology relevant to school law. License and Certification Requirements:NAIDEAL CANDIDATES WILL HAVE THE FOLLOWING SKILLS AND ABILITIES Ability to use a personal computer and software applications appropriate for the work assignment. Ability to analyze, evaluate, and organize facts. Ability to identify and maintain the confidentiality of sensitive and important information while using diplomacy and tact. Ability to use initiative and independent judgment. Typing speed of 90 - 100 words per minute. Possess strong written, oral, and people skills. Bilingual in Spanish and English is preferred.
