Livonia Public Schools is seeking a highly qualified Secretary to the Principal of Emerson Middle School. The secretary is responsible for a variety of duties in support of the principal and the school community. The secretary\s assignments may include correspondence, production of in-house programs & handouts, biweekly payroll, notices, announcements, parent reminders, assisting with the maintenance of the school website & calendar, maintaining student, staff, and building files, and assisting in the coordination of school events. MINIMUM QUALIFICATIONS: Applicants must have at least a high school diploma or GED, Associate\s degree or Bachelor\s degree preferred. It is preferred that applicants have at least five years of experience as an administrative assistant or secretary. A passionate commitment to working with employees. Demonstrated positive interpersonal relationships. Evidence of ability to establish positive working relationships with all stakeholders. Superior verbal and written communication skills. Possess a high level of professionalism and confidentiality. Strong computer skills with proficiency in PC-based Microsoft applications, Google Docs, and Adobe. Exemplary organizational skills JOB DUTIES & RESPONSIBLITIES INCLUDE: Support the principal in the day-to-day administrative operations of the school, ensuring efficient and effective office management. Serve as a primary point of contact for students, staff, families, and community members; provide timely, professional, and courteous communication in person, by phone, and electronically. Manage internal and external communications, including email, voicemail, newsletters, and general correspondence. Organize, maintain, and ensure the accuracy, security, and confidentiality of student records, staff files, and other sensitive documents in accordance with district and legal requirements. Process semi-monthly payroll, including timekeeping verification, data entry, and coordination with the district payroll office. Review, verify, and process school-related forms and requests (e.g., field trips, conferences, facility use), ensuring completeness and compliance with district procedures. Coordinate the preparation, distribution, and collection of beginning- and end-of-year materials, forms, and resources for students and staff. Manage substitute coverage by securing, scheduling, confirming, and tracking substitutes; maintain accurate records of absences and coverage. Prepare and format documents, reports, presentations, and publications for school events, meetings, and communications. Maintain and update the school website and master calendar to ensure accurate and timely information for the school community. Draft, edit, and proofread correspondence and communications on behalf of the principal. Support student-related processes such as attendance tracking, enrollment support, and records requests, as needed. Assist with coordination of school events, meetings, and activities, including logistics, communication, and materials preparation. Utilize district technology systems and office software to manage data, communications, and workflow efficiently. Maintain a welcoming, organized, and professional front office environment that supports a positive school culture. Collaborate effectively with office staff and school personnel, demonstrating strong teamwork, discretion, and professionalism. Perform other duties as assigned, including temporary assignment to other district locations to support enrollment, residency verification, records management, and special projects. There are 15 elementary schools, 3 middle schools, 3 high schools, 1 career technical center, 1 early childhood center, and 1 vocational and transition center in the school district. The annual budget for Livonia Public Schools is $185 million, with a state funding of $10,050 per pupil. CONDITIONS OF EMPLOYMENT:The ability and desire to accept responsibility are essential for this position. Due to the nature of the work, a cooperative and professional working relationship with all office staff is required. Specific details of the position will be discussed with the administrator during the interview and at the time of hire. This is a Level I, eight hours/day, 12-month position. Salary and benefits shall be in accordance with the terms and conditions of the Agreement between Livonia Public Schools and the Livonia Secretarial Association (MEA).
