The Program Coordinator provides comprehensive academic and administrative support for graduate education programs within Biomedical Graduate Education (BGE) at Georgetown University Medical Center. This position supports the MS in Integrative Medicine and Health Sciences, MS in Systems Medicine, and the PhD in Biochemistry and Molecular & Cellular Biology, ensuring effective coordination of academic operations, student services, and program activities. Working closely with program leadership and BGE administrative units, the Program Coordinator plays a central role in managing the graduate student lifecycle—from recruitment and admissions through graduation and alumni engagement. The role supports approximately 60 master’s and doctoral students and contributes to the efficient administration, academic coordination, and continuous improvement of these interdisciplinary biomedical graduate programs. The Program Coordinator assists with recruitment and admissions processes, monitors student academic progress and compliance with program requirements, coordinates merit-based funding and student records, supports faculty and program leadership in curricular and programmatic initiatives, and organizes academic and professional development events that enhance the graduate student experience. Additional duties include, but are not limited to:Coordinate day-to-day administrative operations for the MS and PhD programs, ensuring smooth functioning of academic and program activities. Serve as a primary administrative resource for students, faculty, and program leadership regarding program policies, procedures, and academic requirements. Maintain accurate student records and program data in compliance with university and regulatory guidelines. Assist program directors with scheduling, documentation, and coordination of program meetings, faculty committees, and program reviews. Support curricular operations including course scheduling, registration coordination, and communication of academic policies and deadlines. Monitor graduate student academic progress, milestones, and degree requirements, including advising checkpoints, thesis/dissertation milestones, and graduation clearance. Track and maintain records related to merit-based aid, fellowships, and other student support mechanisms. Support recruitment initiatives and admissions processes in collaboration with Biomedical Graduate Education admissions staff. Assist with application review logistics, applicant communications, and admissions committee coordination. Participate in recruitment events, information sessions, and outreach efforts to prospective students. Provide administrative support to the Directors of Graduate Studies and participating faculty across the programs. Coordinate faculty participation in program activities such as admissions reviews, curriculum planning, and student Evaluation processes. Plan and coordinate program events including orientations, seminars, workshops, recruitment events, and special academic activities. Support career development and alumni engagement efforts in collaboration with BGE career services. Assist in communications and outreach activities that promote program visibility and student engagement. Work Interactions. The Program Coordinator reports directly to all the Directors of Graduate Studies in the 3 programs. The Program Coordinator serves as a liaison and works closely with The Office of Biomedical Graduate Education (BGE) including admissions, student services, recruitment and career services, and communications, Office of the Registrar, and Office of Global Services. Requirements and Qualifications. Bachelor’s degree 1–3 years of experience in academic administration, higher education, or program coordination, preferably within the biomedical sciences or graduate education environment. Demonstrated administrative, organizational, and project coordination skills. Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint, and experience managing databases or student information systems. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines in a fast-paced academic environment. High attention to detail and strong problem-solving abilities. Ability to maintain confidentiality and handle sensitive information appropriately. Preferred Qualifications Experience supporting graduate or professional academic programs. Familiarity with university systems related to admissions, student records, or academic program management. Experience coordinating events, recruitment initiatives, or student engagement activities. Work Mode Designation. This position has been designated as Hybrid.
