The Administrative Assistant II- Human Resources provides a high level of administrative and program support to ensure efficient departmental operations. Responsibilities include serving as a liaison between departments, preparing and maintaining a variety of documents, reports, agendas, and spreadsheets, and assisting with meeting coordination and event preparation. The role also performs general office functions such as data entry, records management, vendor payment processing, responding to inquiries, scheduling meetings, and providing customer service to internal and external stakeholders. Experience, Education, and Skills:Minimum Requirements:High School diploma or equivalent. Two to four (2-4) years of relevant experience. Possession of a valid driver’s license. OR - Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job. Preferred:English/ Spanish bilingual skills. Knowledge, Skills, and Abilities:Above-average knowledge of grammar, spelling, and punctuation. Knowledge of business office functions. Intermediate to advanced skills in word processing and spreadsheets. Excellent customer service skills in a busy office. Perform a variety of routine and complex administrative tasks. Proficient organizational skills. Ability to work under pressure in a fast-paced environment. Attention to detail. Ability to manage confidentiality in all aspects of job. Ability to manage multiple priorities. Ability to manage multiple tasks with frequent interruptions. Ability to diffuse and manage volatile and stressful situations. Essential Functions:Communicates accurately and effectively, both verbally and in writing and via telephone. Manages meeting sign-ins, and records meeting minutes and action items. Effectively prioritizes multiple tasks and meets deadlines under pressure and with constant interruptions. Assists with the preparation of public meetings and events. Performs routine clerical work including the maintenance of appropriate records and preparation of reports. Understands and carries out verbal and written directions. Performs basic mathematical calculations. Types at a speed necessary for adequate job performance. Establishes and maintains effective working relationships. Provides excellent customer service to internal staff, patrons, and citizens. Communicates in a face-to-face, one-on-one setting, in person, and using a telephone. Researches and assembles information in an understandable format (e.g., budget data). Maintains office files in an organized and efficient manner. Accurately enters and manipulates information using a computer. Operates standard office equipment (e.g., computers, typewriters, fax machines, copiers, printers, calculators, etc.). Works independently and with others. Writes and compiles documentation using good grammar and punctuation; sorts, organizes, and prepares meeting documentation.
