As a CBRE Meeting and Events Coordinator, you will assist with the detailing and operation of meetings, conferences, and events. This job is part of the Events job function. This role is onsite at 320 S Canal St, Chicago, IL USA. - - What You'll Do: - - Detail meetings and events with clients – floor plans, timelines, vendors, AV needs, etc. – for a small conference center and an outdoor event space. Events range from corporate meetings to outdoor weddings. Support day-of event operations, including gathering supplies, coordinating equipment needs, and responding to onsite requests. Act as the on-site contact for meetings and events, delivering a hospitable, world-class experience for attendees, event owners, and vendors. Assist with post-event reporting and reconciliation. Raise potential issues and concerns as appropriate. Maintain documentation of small-space configurations, décor options, and event-related items. Manage and organize event supply inventory. Complete regular room checks and ensure technical and visual spaces are functional. Along with other Event team members, plan and execute indoor and outdoor building tenant events throughout the year. Includes building vendor relationships, some design and marketing, budgeting. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion. Responsibilities and processes are clearly defined, with limited discretion required. Complete assigned responsibilities by following established procedures under guidance from leadership. Work a flexible schedule based on scheduled indoor/outdoor event needs, which vary week to week. - - What Success Looks Like: - - Planning ahead – being prepared for the expected and unexpected. Consistently accurate event execution with minimal day-of issues. Positive feedback from clients on your communication and service. Taking ownership and pride of the event spaces and inventories. Prior work experience in event, hospitality, customer service, or related field required. Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Should be able to occasionally lift/carry heavy loads up to 50 lbs. Ability to follow basic work routines and standards in the application of work. Communication skills to exchange straightforward information. Working knowledge of virtual meeting/event platforms (Teams, Zoom.) Ability to troubleshoot audio/visual and technical issues with clients (training provided.) Working knowledge of Microsoft Office products.
