The Business Operations Manager provides professional business and financial support for the Division of Advancement and the UNC Pembroke Foundation by administering and coordinating budget, financial reporting, reconciliation, procurement, and compliance functions across State and Foundation resources. This position ensures the accuracy, integrity, and timely completion of financial processes and required regulatory reporting associated with philanthropic funds, operational budgets, capital initiatives, and foundation activities. The position serves as the primary business resource for Advancement, coordinating with Finance, Procurement, Internal Audit, and Foundation partners to support sound fiscal practices, compliance with university, Foundation, State, and federal requirements, and continuous improvement of business processes that support the division’s fundraising, stewardship, and operational objectives. Job Description The Business Operations Manager provides professional business and financial support for the Division of Advancement and the UNC Pembroke Foundation by administering and coordinating budget management, financial reporting, reconciliation, procurement, and compliance functions across State and Foundation resources. This position supports sound fiscal management, accurate financial reporting, and efficient business operations that enable the division to advance its fundraising, stewardship, and foundation administration priorities. Key responsibilities include: Oversee Advancement and Foundation budgets, ensuring accuracy, compliance, and alignment with divisional goals; monitor expenditures and revenue across State and Foundation funds and provide regular financial updates and analysis. Prepare and coordinate required financial reporting, including annual audit materials, IRS Form 990 support, capital project financial tracking, Voluntary Support of Education (VSE) reporting, and other required institutional or external reports. Manage monthly and annual gift reconciliation between Advancement, Foundation, and university financial systems; research discrepancies, maintain supporting documentation, and ensure accurate financial records. Coordinate annual charitable solicitation renewals and support compliance with applicable university, Foundation, State, and federal policies, procedures, and reporting requirements. Coordinate procurement, contracting, payment processing, and related business transactions in accordance with university policies, internal controls, and applicable regulations. Provide training and guidance to Advancement and Foundation staff on business procedures, financial processes, compliance requirements, and procedural updates. Analyze financial and operational processes, develop and maintain reporting tools and business procedures, identify opportunities for improved efficiency and accuracy, and recommend process improvements. Serve as the primary business resource for Advancement and coordinate business processes with Finance, Procurement, Internal Audit, Foundation staff, and other campus partners. Perform other related duties as assigned in support of Advancement and Foundation operations. Management Preference Experience working in higher education, advancement, foundation administration, or nonprofit organizations. Knowledge of financial management, budgeting, reconciliation, procurement, and compliance reporting. Experience supporting audits, IRS Form 990 preparation, charitable solicitation renewals, or related regulatory reporting. Strong analytical, organizational, problem-solving, and communication skills. Ability to manage multiple priorities independently with a high level of accuracy and attention to detail. Proficiency in Microsoft Excel and enterprise financial or reporting systems, such as Banner, Raiser’s Edge, or similar platforms.
