Assist administration with day-to-day operations of Human Resources for Steven J. Green School of International & Public Affairs (Green School). Facilitates the execution of HR programs and processes relative to benefits, payroll, compensation, recruitment and selection. Processes various human resources related transactions for Departments, Centers and Institutes within the Steven J. Green School of International & Public Affairs (Green School). Serves as HR Contact on HR actions and related matters within the Green School. Point of contact for recruitment of Student Assistants (SA), Federal Work Study (FWS) and Temporary Appointments to include Courtesy Appointments, Person of Interest (POI's), volunteers and interns. Assists in the recruitment process for all faculty, administrative, staff, temporary and student positions within the Green School. Utilizes applicant-tracking system to document process. Acts as the liaison between hiring officials and Talent Acquisition Management (TAM) during the recruitment life cycle. Participates in interviews as a moderator and HR representative. Assists in the overseeing of student records including Panther Audits and degree certifications. Facilitates the process of J-1 visa applications, in coordination with the hiring department and the Office of International Student Scholar Services (ISSS). Provides basic information and interprets department and university policies. Communicates new procedures to effectively streamline the faculty, administrative, staff and temporary processes with regards to human resources actions and certificate programs. Serves as point of contact between Green School Dean's Office, university community and affiliates regarding HR related matters. Initiates faculty offer letters to include initial appointments, renewals, non-renewals, administrative increments, reassignments and revisions as needed. Ensures the accuracy and completion of required paperwork before submission to Office of Academic Resource Management (ARM). Compiles data and prepares reports as requested. Facilitates the submission of personnel activities such as Electric Personnel Action Form (e. PA - Fs), Electronic Personnel Requisition Form (e. PR - Fs), Nepotism Disclosure Forms, Separation from Employment/ Transfer Clearance and other actions as needed. Coordinates and works closely with hiring managers on onboarding process for new hires. Follows up with department regarding various actions to ensure smooth HR transition and process. Utilizes onboarding checklist along with check ins with new hires. Ensures information in faculty files are accurate. Maintains appropriate record of approved forms, letters, transcripts, and immigration documents according to Deans Office, University and Federal guidelines. Attends to telephone and email requests from faculty and students on a regular basis. Communicates new employee My. Accounts credentials to employee and/or appropriate hiring manager to ensure appropriate access to university resources. Attends Division of Human Resources related meetings and trainings as needed to maintain competencies in system applications, policies and procedures. Cross-trains procedures with department employees to ensure smooth operation of business processes. Prepares, maintains, and organizes HR communication templates, records, and SharePoint folders. Manages HR email inbox and communicates with faculty, staff, and potential candidates, including scheduling of interview, as well as answering general HR questions. Assists with the performance management process (PEP) by sending reminders of evaluation period and deadlines to ensure timely completion for the College. Maintains effective tracking and reporting systems for status updates and future references. Coordinates the planning and logistics of key HR events. Minimum Qualifications. Bachelor's degree.
