This person provides administrative support to the Enrollment Management division with a specific focus on ensuring a welcoming, personalized experience for students and families, as well as assisting other visitors to Haas. This role supports both the Scholarships and Financial Aid team and the Admissions Operations team. Characteristic Duties & Responsibilities:Serves as a first contact in both the Offices of Scholarships and Financial Aid and Admissions; helps create and maintain a positive, customer service-oriented office atmosphere where all visitors feel welcomed. Receives, responds, and directs inquiries by telephone, email, or in person; manages appointments with Director and Senior Assistant Director of Financial Aid. Provides administrative support for the daily operations of the Scholarships and Financial Aid Office, including:–Entering data derived from financial aid documents and award information–Maintaining department files, including computer records.–Preparing correspondence, reports, forms, and other material from notes or rough drafts. Assists students and parents with understanding the financial aid process and completing financial aid forms; exercises independent judgment in response to inquiries regarding financial aid applications. Participates in all large campus enrollment events fulfilling duties as assigned by the Senior Assistant Director of Admissions/ Events. Works closely with other campus offices (Student Accounts, Business Office, Registrar, etc.) as needed to effectively support office functions. Assists with the student employment program, student work eligibility, and monthly student payroll. Assists in government verification procedures (e.g., processing State grant rosters, helping to correct discrepancies found in aid documents, etc.)Manages and directs student workers as needed. Assists with Admissions data entry as directed. Undertakes other duties as assigned by the Director of Scholarships and Financial Aid or Admission Operations Manager. While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics:Qualifications:Minimum of 2-4 years of progressively responsible experience in an office environment preferred. Previous experience in an academic environment is a plus. Customer service mindset, professional demeanor, and clear written and oral communication skills. Demonstrated ability to manage and organize office functions; ability to multi-task and meet deadlines is essential. Proficiency with spreadsheet software; familiarity with Google Suite preferred. Willingness to learn Slate and Power. FAIDS record systems. Discretion with confidential documents and financial information, and compliance with all relevant regulations. Sensitive to and supportive of the needs and experiences of others through the use of empathy and good judgment. Availability and willingness to work some weekends, holidays, and evenings. Must be able to lift and carry supplies weighing up to 20 pounds. Must be able to bend, stoop, and reach. Muhlenberg College is an Equal Opportunity Employer.
