The Assistant – Office Operations works in a customer service capacity, providing administrative and clerical support to patients, families, and internal customers within a medical office or clinical setting. This role serves as a key point of contact, ensuring efficient front-end operations, accurate patient information management, and a positive patient experience. ESSENTIAL DUTIES AND RESPONSIBILITIES:Greets patients, visitors, and customers in a professional and courteous manner; serves as the first point of contact for the office. Performs patient check-in and check-out processes, ensuring all required documentation is obtained and completed accurately. Verifies, enters, and updates patient demographic and insurance information in the electronic medical record (EMR) system. Obtains and verifies insurance authorizations and precertifications as required for services. Schedules, reschedules, and confirms patient appointments in alignment with provider availability and clinic workflows. Processes medical record release requests in accordance with regulatory and organizational guidelines. Enters, reviews, and submits daily charges for patient procedures and services, ensuring accuracy and timeliness. Collects co-payments and other patient financial responsibilities; reconciles daily cash reports, payments, and deposits. Maintains accurate records and ensures compliance with all applicable policies, procedures, and regulations. Provides general clerical and administrative support, including filing, scanning, faxing, and managing office communications. Assists with maintaining a clean, organized, and efficient work environment. Collaborates with clinical and administrative staff to support patient care and operational efficiency. EDUCATION / EXPERIENCE REQUIRED:High School Diploma or G.E.D. equivalent required. OR a minimum of one (1) year of applicable cumulative job-specific experience in a medical office, customer service, or administrative role. Note: Required professional licensure/certification may be considered in lieu of education or experience, if applicable. PREFERRED QUALIFICATIONS:Prior experience in a medical office, ambulatory, or healthcare setting. Knowledge of medical terminology, insurance verification, and scheduling systems. Experience with electronic medical records (EMR), such as Epic. Strong customer service and interpersonal communication skills. Ability to multitask, prioritize, and work in a fast-paced environment. Basic knowledge of medical billing and front-end revenue cycle processes. ADDITIONAL INFORMATION:Position requires strong attention to detail, organizational skills, and the ability to maintain confidentiality. May require flexibility in scheduling based on department needs.
