The Accounts Payable Clerk plays a key role in supporting the Finance Department through accurate, complaint, and timely processing of financial transactions. This position is responsible for reviewing approved payables to ensure proper coding, footing, and adherence to compliance standards, as well as confirming workflow approvals and complete supporting documentation before payment processing. The role enters approved payables into the accounting system and processes check batches efficiently. It also maintains organized and accurate vendor files, including assigning vendor IDs, and provides professional support by handling Accounts Payable inquiries and collaborating with vendors to resolve issues Duties and Responsibilities - Review approved payables to verify proper coding, footing and compliance. - Make sure all invoices are unit approved through the workflow system before payments are made. - Check to see that all back up is attached to each check request. - Review approved payables into Shelby Workflow system. - Process checks as batched. - Maintain all vendor files, assigning vendor ID for check runs. - Take phone calls regarding Accounts Payable as needed. - Work with vendors to solve problems as necessary. - Other duties as assigned. Education/ Experience, Skills, Qualities, Requirements - Required: A High School Diploma and (1) one year computer experience. - Preferred: An Associate of Arts degree in Accounting from an accredited college program and (2) two years computerized accounting. Experience in lieu of education will be considered. Skills - General understanding of Generally Accepted Accounting Principles and Financial Accounting Standards pertinent to The Salvation Army. - Computer proficiency in accounting software, reporting software, donor management, and Microsoft Office suite. - The ability to operate 10-key touch and other standard office equipment efficiently - The ability to address multiple projects in a time sensitive manner is essential. - The ability to present oneself in a professional manner and maintain confidentiality. - The ability to interact with Officers, Management and Co-workers in a positive manner. Qualities - Supportive of The Salvation Army's mission - Able to reflect and model the high standards of our organization Requirements - Driving If the position requires driving: o The employee must be 21 years old at minimum (for insurance provision) and possess a valid in-state driver's license o An MVR will be processed every year in accordance with The Salvation Army's policies - Background Check o Continued employment will be contingent upon a biennial (every two years) background check that is processed in accordance with The Salvation Army's policies - Physical o Ability to maneuver, to remain in a stationary position, to grasp, push, pull, and reach overhead, to lift 25 pounds, to access and produce information from the computer, to operate telephone, to understand written information o Qualified individuals must be able to perform the essential duties of the position with or without accommodation.
