Will work directly with program directors in planning and organizing the academic course scheduling. Advises the faculty and students of guidelines and policies within the various programs including procedures, special clearances, program forms, course curriculum and scheduling etc. Job Related Minimum Required Education and Experience Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/ Other Credentials Preferred Qualifications Must have excellent working knowledge of university academic calendars, student curriculum issues, and of university administration and systems. Knowledge/ Skills/ Abilities Knowledge of USC policies and procedures related to student information, grading, and course curriculum. Working knowledge of Microsoft Word, Excel, Dropbox, and Adobe Acrobat. Familiarity with USC systems such as Banner, Class Climate, and Data Warehouse, or willingness to complete training upon hire. Strong organizational, interpersonal, verbal, and written communication skills. Ability to work effectively with a diverse group of constituents and the general public. Detail-oriented with the ability to manage multiple tasks simultaneously. Ability to exercise discretion and maintain confidentiality. Job Duties Job Duty Works directly with the assistant department chair and all program directors in planning and organizing the course scheduling: prepare correspondence on curriculum and courses for program directors. Advises the faculty and students of guidelines and policies within the various programs and resolves and/or directs faculty, students and outside inquiries to appropriate personnel. Enter the course schedule information into the university scheduling system for 250-300 courses for total department enrollment of 6,000 – 7,000 students. Update schedule and enrollments daily, including keeping an up to date version in an accessible shared digital folder. Provide the spreadsheet detailing faculty course loads and course array for the department as required by the Dean’s office. Coordinate classroom space with Space and Scheduling and assign rooms to faculty. Essential Function Yes Percentage of Time 35 Job Duty Enter course overrides for schedule every semester. Monitor and maintain override website and track requests for overrides. Generate students’ course/ teacher evaluations per semester for all department courses. Responsible for emailing course evaluation results to professors and providing copies to the Chair’s office for filing. Essential Function Yes Percentage of Time 20 Job Duty Assists with placement testing, in cooperation with Placement Director. Fields calls from the public and students regarding language classes, placement testing and basic requirements for languages. Verifies accuracy of placement scores on class rolls, contacts and advises students if information is incorrect, notifies registrar’s office if students are to be removed from class rolls. Essential Function Yes Percentage of Time 15 Job Duty Assists instructors with textbook orders and coordinates with bookstore staff in placing textbook orders. Essential Function Yes Percentage of Time 10 Job Duty Responsible for taking and processing applications for advanced standing. Verifies information on application against their transcripts available on Banner. Approved applications are submitted to the Registrar’s Office and denials are sent a letter. Verifies and completes forms for all course changes, special topics and new course proposals. Submits forms for signatures from Department Chair, Academic Dean or Graduate School and send to Faculty Senate for approval. Essential Function Yes Percentage of Time 5 Job Duty Provides assistance and guidance to the department faculty and staff to ensure FERPA and scheduling compliance with federal, state, and University policies and procedures.
