The Assistant Athletic Director Business Operations is responsible for long-range financial planning, and oversight of the day-to-day business operations of UIW Athletics. This role serves as the department leader on fiscal policies and processes, in adherence to the University’s standards and practices. In addition to financial management, the Assistant Athletic Director/ Business & Finance will have oversight responsibility for all Athletics’ Human Resources and Information Technology matters. The Assistant Athletic Director Business Operations reports to the Senior Associate Athletic Director for Administration. Job Duties Job Duty Name Essential Job Duties Description of Job Duties Provides leadership, direction, and management of the Athletics financial services team; Provides strategic recommendations to the Athletic Director and members of the senior staff on long-term business and financial planning; Develops and manages the processes for financial forecasting and budgets; oversees the preparation of all financial reporting; Completes all mandated financial reports, such as the Federal EADA Report, NCAA/ AUP Report, Conference Office Requests, etc.; Collaborates with UIW Office of Finance and Administration and other key University stakeholders and external partners to ensure internal compliance parameters are met; Strategically develops and implements internal and external policies and regulations to address critical financial issues, such as recovery of cash, risk management, etc; Ensures regulation compliance with institutional, NCAA, and conference policies; Oversees accounts receivable and purchasing transactions to ensure accuracy; ensures daily business operations run smoothly; Assesses, recommends, documents, and implements controls as needed to ensure financial processes maintain compliance with federal and state requirements, internal financial and audit policies; Identifies, researches, and resolves budget discrepancies related to financials and personnel. Reviews and approves financial transactions, including purchase orders, procurement cards, vouchers, travel vouchers, financial aid payments, etc.; Develops, documents, and implements procedures for financial activities to ensure that UIW Athletics is running as efficiently and effectively as possible; Reviews, reconciles, and tracks all ticketing, fundraising, sponsorship, and other external revenues on a monthly basis; Works with the Ticket Office and Cardinals Club to identify, reconcile, and rectify variances between the Athletic Department’s system and University general ledger; Compiles and reviews annual budget requests from Athletic units. In coordination with the budgeting team, ensures sufficient budget exists and manages budget adjustment entries by utilizing the university’s Banner ERP system. Conducts detailed bi-monthly variance analyses and ad-hoc analyses as needed. Investigates key drivers and causes of material budget variances and communicate those drivers to the leadership. Maintains records of actual operating figures for comparison with estimated budget; Prepares reports and estimates future financial needs. Conduct budget training, as appropriate. Executes special projects and assignments. Perform other duties as assigned. Qualifications Knowledge Skills and Abilities Well-developed finance skills to perform complex accounting and statistical computations. Strong skills in Microsoft Outlook and Word; highly proficient in Microsoft Excel to include pivot tables, VLOOKUP, and formulating spreadsheets, charts and graphs. Experience with analytical tools; excellent critical thinking skills. Strong proficiency or ability to quickly learn and effectively use Banner, SQL, and Power BI. Excellent written and verbal communication skills. Ability to maintain strict confidentiality. Ability to work both independently and as part of a team. Excellent time management skills and the ability to prioritize assignments with attention to detail. Excellent customer service skills. Ability to effectively troubleshoot errors or exceptions. Ability to work effectively with individuals from diverse communities and cultures. Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA. Required Education Bachelor’s Degree in Accounting, Finance, or closely related field. Required Work Experience Five (5) years of professional financial and/or budgetary experience working with complex systems. Note that one (1) year of additional relevant education in financial field will be considered for up to one (1) year of required experience. Two (2) years of lead or supervisory responsibilities in this field. Preferred Qualifications MBA in Finance or equivalent. Experience working with NCAA rules, regulations, and reporting requirements. Two (2) years of budgetary experience in a complex athletics department within Higher education. Experience in Banner, SQL, and Power. BI. Required Certifications, Licenses or Registrations N/ A. Work Hours Monday through Friday 8 am to 5 pm with extended hours as needed, especially during peak periods, to meet departmental goals. Physical Demands None specified.
