Primary Responsibilities. Serve as lead advancement operations officer for Institutional Advancement. Developing and implementing, with VP and appropriate directors, annual operating goals for all areas of IA. Overseeing Advancement Operations personnel. Supervising Senior Manager, Scholarships and Rusk TJC Citizens Promise program to ensure that recruitment, selection, awarding, and overall management of scholarships is accurate, diverse, efficient, timely, high-quality, and meeting overall goals. Additionally, ensure that the Rusk Promise program effectively supports the success of students participating in the program. Supervising Manager, Donor Relations and Special Events to ensure that acknowledgment of gifts and subsequent stewardship activities for donors are high quality, accurate, and timely, including endowment reporting and annual report, and newsletters for the Foundation. Also, ensure quality and efficient production of IA and presidential events, including on-campus and off-campus venues. Supervising Manager, Campaign Operations, to ensure prospects, opportunities, and fundraising actions are accurately maintained within the advancement CRM. Also, to ensure the production of high-quality solicitation materials and campaign-related events. Assessing and overseeing specific human resource needs for all IA personnel. Identifying employee development needs and facilitating necessary skills training and professional development opportunities. Ensuring that employment policies for TJC are adhered to in all IA employee practices. Organizing and implementing ongoing planning and team-building opportunities for IA. Leading administration of IA database (Blackbaud CRM – Raiser's Edge NXT, RE NXT)Working with the Office of Information Technology (IT) to maintain standards for college-wide computing, reporting, data entry, and extractions. Developing and implementing all reports connected to performance measures for IA. Utilizing data to prepare and submit advancement-related industry reports and surveys for national organizations such as Council for Advancement and Support of Education (CASE), including the annual Voluntary Support of Education (VSE) fundraising survey and National Association of College and University Business Officers (NACUBO) endowment survey. Serving as lead representative from IA in working with IT and RE NXT representatives to address the needs of the CRM system. Developing and supervising an IA prospect management system to identify, qualify, cultivate, solicit, and steward major and principal donors. Overseeing research of prospective and current donors utilizing IA CRM and online resources, and ongoing appending of all donor information within CRM. Leading development of prospect profiles to determine the capacity of donors to support College priorities through the Foundation. Organizing and participating in prospect review meetings with IA personnel to assess the progress of fundraising officers and providing ongoing prospect reports. Overseeing development and production of reports to support fundraising initiatives, including campaigns. Tracking and assessing the advancement operations component for the IA budget. Other duties as assigned by VP. Secondary Responsibilities. Serve as lead operations officer for Tyler Junior College Foundation. Developing and implementing, with the Executive Director (ED), annual operating goals for the Foundation. Administering acceptance, receipt, and disbursement of all gifts to the Foundation. Ensuring compliance with IRS and Foundation gift policies, acknowledgment requirements, and industry reporting standards, including those provided by the Council for Advancement and Support of Education (CASE). Administering maintenance of endowed scholarship funds, including disseminating information to business services and financial aid departments. Working with the Foundation Accountant on the administration of fund accounting and reporting. Ensuring all Foundation practices adhere to established policies and recommending revisions to ED. Ensuring all Foundation procedures are appropriately documented and continually meet the needs of the Foundation and its constituents. Working with ED in support of various Foundation governing committees, including executive and investment committees. Manages Oil, gas and mineral interest subcommittee of investment committee. Works with volunteer leadership and professional firm to proactively manage assets and promote gifts of oil, gas, and mineral interests. Serves as liaison between subcommittee and investment, including ongoing reports. Other duties as assigned by ED. Represent IA and Foundation in the absence of VP/ ED.
