The Student Life Administrative Coordinator reports to the Director of Student Life Administration and is responsible for providing administrative and organizational support to all areas of Student Life. This includes coordinating student HR processes and procedures while ensuring compliance and monitoring best practices for recruitment, onboarding, and development of student workers from the context of their employment. One of the largest employers of students on campus, Student Life employs a diverse and talented staff of more than 900 student workers in various positions. This individual will also work as a member of the Student Life Administration team supporting a diverse group of eleven departments with unique needs. Work Environment: in-person. This position will work primarily on campus in the Student Life Administrative Suite. Work hours are Monday – Friday, 8:00 am to 4:30 pm with some flexibility for nights and weekends as needed. Essential Functions Serve as a partner to department directors and leadership for all student employment functions, including recruitment and ensuring compliance with employment-related laws, regulations, and policies. Promote and support equity, diversity, inclusion and access in the recruitment and retention of student workers and temporary/casual employees for Student Life. Coordinate onboarding processes for student workers. Process upwards of 300 I-9 s annually for student workers, temporary/casual employees, and new staff hires. Review and approve student employment paperwork and other transactional human resources procedures for the department. Work Responsibilities. Student and Temporary/ Casual Recruitment (45%)Coordinate with Student Life directors and leadership to effectively recruit a skilled, enthusiastic, and diverse base of student personnel to support the department mission of serving all students and the greater University community by enriching the campus experience and encouraging lifelong wellbeing. Review, approve, and process departmental hiring, termination, and other forms that are submitted by supervisors of student workers and temporary/casual employees, ensuring that requests are submitted accurately and according to University Human Resources Management System (HRMS) guidelines and definitions. Utilize proactive recruitment strategies to efficiently fill open student positions. Work with each department director to develop and maintain a consistent and up-to-date job description for each student and temporary/casual position. Promote continuity planning for key positions while partnering with department leadership to assess ongoing staffing needs. Initiate, create, and generate staffing reports upon request by area managers or department leadership Maintain a well-organized Student Life folder, updating forms as needed, to serve as a resource and toolkit for managers of student employees Onboarding, Engagement, and Development (25%)Serve as the primary I-9 administrator for student workers, temporary/casual employees, and new staff hires in Student Life, meeting with upwards of 300 new hires annually to process their I-9 s and ensure the verifications are complete and within compliance of federal laws and University policies. Maintain a canvas training module to serve as the onboarding manual for all Student Life student positions, ensuring consistency in performance management and expectations across the department. Time and Absence Administration (20%)Serve as a Time and Labor Administrator for students within the division of Student Life. Provide training on PeopleSoft HRMS time reporting and approvals to student personnel and department managers while ensuring accurate timekeeping and approvals for student positions across all areas of the department. Establish appropriate pay steps and levels for student positions, in conjunction with department’s Senior Leadership Team. Ensure proper reporting lines are established through Position Management in PeopleSoft HRMS - Additional Duties as assigned (10%)Assist with division initiatives including:Champ Awards, Tabeling, Champ’s Closet, etc. Participate in professional development and training activities as appropriate. Upon request, serve as a resource for best practice information as it pertains to continuous improvement initiatives. Other duties and special projects as appropriate to the individual’s background, experience, and interests that support the department and division’s strategic plan Qualifications Required Qualifications. BA/ BS or a combination of related education and work experience to equal four years; applies knowledge and skill to a recurring task or activity with emphasis typically on precision and timeliness of execution. Preferred Qualifications. Computer experience including gathering, compiling, and maintaining data through databases and spreadsheets. Task-oriented with the ability to see projects and processes through to completion Experience developing training and onboarding programs. Experience recruiting and retaining part-time staff. Demonstrated experience working effectively with and across diverse communities. Demonstrated ability to collaborate across all levels of a work environment. Expertise and theoretical knowledge of student development practices. Demonstrated ability to recognize process efficiencies and enact process improvements. Strong written and verbal communication skills Pay and Benefits Pay Range: $45,760 - $54,080 per year; depending on education/qualifications/experience. Time Appointment: 100% Appointment.
