Include the following. Other duties may be assigned. Understands pre-construction and construction processes. Reads, analyzes, and identifies scopes of work on construction plans, specifications, and contract documents. Creates, organizes, and updates project files to ensure consistency and efficiency. Collaborates with the accounting department on behalf of the project teams to review and approve invoices by matching invoices to the schedule of values from vendors and subcontractors. Logs, tracks, and processes RFIs and submittals, ensuring all changes are routed to the proper field. Collects, tracks, and verifies partial and final lien waivers from subcontractors and vendors. Assists in issuing POs, processing invoices, and matching costs against the budget to prevent overspending. Coordinates new project start-up, month-end reporting, and project closeout. Understands Davis Bacon and Prevailing Wage with the ability to source wage rates and navigate appropriate websites. Assists project teams with supply ordering to include safety signage, PPE, drug testing kits, etc. Maintains strong working relationships with project teams, subcontractors, and vendors. Follows direction from Project Managers and incorporates feedback as needed. Ability to travel on an as needed basis to project sites or company events. Regular, predictable attendance is required. Ability to get along and work effectively with others. Education & Experience: Associate’s degree (A. A.); or five to seven years related experience supporting construction project teams in a fast-paced environment; or equivalent combination of education and experience. Proficient in Microsoft 365, including Excel, Word, PowerPoint, SharePoint, Forms, and Teams; and Smartsheet. Experience with Heavy. Job/ Heavy. Bid preferred. Exceptional verbal and written communication skills with a polished, professional demeanor, and ability to interact professionally across all levels of the organization. Strong problem-solving skills with the ability to exercise sound judgement under pressure and pivot rapidly, without direct supervision. Outstanding organizational skills with the ability to manage multiple tasks, prioritize, and meet deadlines in a fast-paced environment while maintaining exceptional attention to detail and accuracy.
