Under general supervision, manages the administrative, financial, and human resources operations of a department. Essential Duties Summary Administers the daily office operations, including the coordination and supervision of staff members. Assists with budget preparation. Monitors the department’s budget and tracks expenditures. Prepares reports regarding budget activity and account balances. Maintains budget documentation files and ledgers. Assists with preparing periodic Board reports or other reports of a recurring or ad hoc nature. Verifies availability of funds for department Personnel Action Forms, supplemental salaries, and related budget transfers. Participates in the preparation of staff performance appraisals. Prepares and processes vendor invoices and purchase requisitions; reviews purchase requests for compliance with university and state procedures; and funds availability. Places orders for supplies and equipment from approved vendors. Obtains price quotes when necessary. May assist with the RFP process. Coordinate’s delivery and storage of supplies and equipment, maintains and verifies inventory records. Review’s delivery invoices to ensure accuracy of items delivered. Maintains files of purchase orders and invoices. Prepares meeting agendas and takes and distributes minutes of staff meetings. May assist with website content and maintenance. Assists with departmental special projects. Performs other job-related duties as assigned. % FTE 1.0 Hiring Range $64,197.37 - $81,851.64 Education Bachelor’s degree required. Master’s degree preferred. Required Licensing/ Certification Valid Texas Driver’s License preferred. Knowledge, Skills, and Abilities Knowledge of: Policies, procedures, and practices.
