We are seeking a detail-oriented, proactive Office Manager to handle customer relations, equipment rental details, and keep our financial documentation running seamlessly. This dual-role requires an individual who can switch gears effortlessly between supporting rental clients and managing financial records. You will oversee the full lifecycle of our equipment rental paperwork and tracking, address client needs, and utilize Quick. Books to manage billing, payments, and general financial reporting. Key Responsibilities. Act as a primary point of contact for clients regarding equipment rentals. Provide excellent customer service, answer basic equipment availability questions, assist in schedule/rental tracking, and resolve customer inquiries regarding accounts, payments, or contract terms. Notify internal teams and customers when equipment service is needed, following up to ensure that it has been completed. Prepare, organize, and maintain highly accurate digital and physical rental contracts, liability waivers, and maintenance logs. Manage general office operations, including mail distribution, ordering supplies, and supporting field staff as needed. Generate and send accurate, timely invoices to rental clients using Quick. Books. Process accounts receivable (A/ R) payments, issue receipts, and manage collections on overdue accounts. Enter expenses and other journal items, coding entries appropriately and issuing payments. Organize financial paperwork and generate basic monthly reports to assist external accountants or ownership. Qualifications & Skills 4-year degree in accounting, bookkeeping, or related financial discipline 2 years of experience in office management role providing exceptional customer service along with accounting or bookkeeping functions. Prior experience in industrial, construction, or equipment rental industries is a major plus. Accounts Payable and Accounts Receivable Experience using Quickbooks.
