As part of the Office of the Corporate Secretary and Board Services team, you’ll play a key role in supporting the CIBC US board of directors, board committees, senior management, and the Office of the Corporate Secretary. As a Senior Specialist, Board Services and Office Management, you’ll develop and implement operational processes to ensure efficient board meeting execution, track and distribute confidential materials, and maintain corporate records in line with regulatory and security requirements. You’ll manage communications, meeting logistics, and support governance activities for US subsidiaries. You’ll also provide administrative support to the Office of the Corporate Secretary and the US Legal Department. At CIBC we enable the work environment most optimal for you to thrive in your role. You’ll have the flexibility to manage your work activities within a hybrid work arrangement where you’ll spend 3 days per week on-site, while other days will be remote. How you’ll succeed. Organize and support board meetings – Coordinate meeting schedules, facilities, conference lines, and ensure accurate dissemination of materials to directors and senior management. Manage confidential information – Track, sort, collate, and distribute confidential packages, and maintain corporate records in compliance with internal and regulatory standards. Facilitate communication – Draft and distribute meeting notices, agendas, schedules, letters, memorandums, reports, and email communications to board members, senior management, and business partners. Provide operational support – Respond to requests from internal business partners, regulators, and external contacts, escalating issues as needed and troubleshooting urgent matters with speed and accuracy. Support governance – Maintain databases of subsidiary officers and directors, and assist with governance activities for US subsidiaries. Deliver administrative support – Assist with file maintenance, invoice payment, telephone coverage, supply monitoring, and general clerical tasks for the Office of the Corporate Secretary and US Legal Department. Who you are. You can demonstrate experience 3 years of administrative experience in a legal or corporate environment preferred. Paralegal certification is an asset. You are proficient in Microsoft Word, Excel and PowerPoint. Bachelor’s degree is preferred but not required. You’re detail oriented.
