We are looking for a qualified professional to provide administrative and operational support to the Business Planning Team (BPR). BPR facilitates business strategy, oversees the planning and execution of transversal projects and initiatives, and manages core enablers for the operational model. In addition, BPR is also responsible for managing several key initiatives to add value to the business, related to market understanding, client strategy, marketing products/content marketing & business communications, business metrics management, marketing campaigns and monitoring and exploiting tools that support our client acquisition and engagement efforts. What you’ll do The selected candidate will provide administrative and operational support to the team, performing a wide range of critical business support functions to ensure the effective and efficient execution of day-to-day administrative processes and activities. Provide administrative and logistical support for the planning, coordination, and execution of meetings and internal and external events, including coordinating and managing complex agendas and supporting the BPR Head in monitoring and enabling the team’s main deliverables. Prepare, review, and consolidate documentation for meetings, seminars, presentations, and reports, ensuring accuracy, quality, and timely delivery. Coordinate business travel arrangements for team members, including processing travel authorizations, expense reports, and visa documentation, as required. Support the planning and execution of official business and conference travel, including coordination of travel announcements, non-objections (Europe and Asia), and maintenance of business and conference travel records. Leverage digital and AI-enabled tools (e.g., Microsoft Copilot, automation solutions, and data platforms) to enhance document preparation, streamline workflows, and improve operational efficiency. Contribute to identifying and implementing administrative efficiencies to improve productivity across the business support function. Process administrative and financial transactions (purchase orders, vouchers, corporate card purchases, petty cash reimbursements) and support procurement of good and services activities, including: Coordination of hiring processes for firms and individual consultants. Processing contract amendments (extensions, increases, cancellations). Ensuring completeness and compliance of documentation. Monitoring contract timelines to ensure adherence to procurement policies. Monitor office supply inventory, maintaining adequate stock levels and coordinating periodic replenishment. Assist in the preparation, translation, editing, and formatting of documents and presentations (Word, Excel, PowerPoint). Utilize Power BI and other data visualization tools to support reporting, track key metrics (e.g., business travel, conferences, administrative processes, and budgets), and enable data-driven decision-making. Serve as backup to the CIO’s Executive Assistant, when needed. Perform other duties as assigned by the Head of BPR. What you'll need Education: Technical studies or Associate’s degree in Business Administration or relevant field. Experience: At least two (2) years of progressive experience in ,preferably, in an international organization, a consultancy firm or a financial institution. Advanced Excel skills (e.g., dynamic tables) and strong PowerPoint skills are an asset. Experience with project management tools, AI-enabled tools (e.g., Microsoft Copilot or similar), and business intelligence tools (e.g., Power BI) for data analysis and reporting. Strong organizational skills with the ability to manage multiple tasks and priorities. Ability to work effectively under pressure and meet tight deadlines. Excellent written and verbal communication skills. Team-oriented, detail-oriented, and proactive, with a demonstrated ability to support colleagues, leverage digital tools to achieve measurable efficiencies, and share knowledge effectively. Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable. Requirements Citizenship: No requirements.
