The City of Boise is hiring a Print & Mail Supervisor. This role:Provides leadership and support to staff delivering centralized printing, bindery, mailing, shipping, and receiving services for the City of Boise and partner agencies. Establishes productive relationships with internal and external stakeholders through effective communication and collaboration. Oversees daily operations, ensuring efficient and reliable service while maintaining a strong focus on customer service. Essential Functions Performs the full range of duties (with appropriate managerial review), including hiring, evaluating, promoting, and assigning duties; correcting inappropriate actions or behavior through communication and coaching, initiating discipline or termination as needed; and overseeing employees or a group. Performs the tasks of subordinate employees, as needed. Provides initial customer service contact, clerical and administrative support to print and mail functions. Supervises the city’s print and mail services division for all city departments and outside agencies. Conducts cost and work projections. Assists in communicating vision, goals, standards, policies and procedures. Utilizes industry-specific software, prepares printing estimates and adheres to customer timelines. Assesses binding jobs and outsource options to determine the appropriate vendor, cost and needs of the customers. Requests price quotations from outside vendors and manages all outsourced print and bindery services. Manages the customer-facing print software experience. Requests art creation or updating through community engagement design services. Sends art out for approval in preparation to print. Reviews incoming jobs for accuracy and clarity, updates as needed and prints orders and delegates them to the appropriate employee for completion. Works with vendors and administers and monitors contracts for materials and services. Conducts yearly inventories, monitors all in-house inventory levels and contracts with all supply vendors. Purchases needed materials. Prepares monthly accounting for all internal and external print and mail. Monitors the status of all United States Postal Service (USPS) mail services, generates reports, manages all USPS accounts and keeps track of current postal rates. Instructs departments in the most cost-effective methods for sending their mail. Manages citywide shipping and receiving. Assists in production and acts as backup for all positions. Trains in all aspects of print and mail operations. Drives a motor vehicle to deliver mail and print orders to multiple locations. Performs other duties as assigned. High school diploma or equivalent and 3 years of experience in a supervisory or lead role, including experience working in a small to medium-sized print, copy and mail facility, or an equivalent combination of education and/or experience. Knowledge of: operations, administration, and supervisory principles; budgeting, purchasing, and inventory management; production planning; postal regulations and requirements; safety requirements common to the printing and mailing industries; printing and bindery operations and equipment and print management software; and computer usage including related software. Ability to: interpret and administer City of Boise policies; monitor tasks and leads operational activities of staff; direct a technically oriented agency; communicate effectively in the English language at a level necessary for efficient job performance; and perform all essential functions as assigned by an authorized employee, supervisor, and/or manager with or without a reasonable accommodation. Individuals must be capable of operating vehicles safely and have an acceptable driving record. Preferred Knowledge, Experience, And Training 5 years of experience supervising a small to medium-sized print, copy, and mail facility . year of experience with print management software . year of experience using all United States Postal Service (USPS) mail classes with extensive knowledge of postal regulations and requirements. Certified Graphic Communications Manager (CGCM) designation through the In-Plant Printing and Mailing Association (IPMA) and participation in the USPS Postal Customer Council (PCC). Licensing And Other Requirements. Valid state-issued driver's license. Special Requirements. Applicants must be able to pass:City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process Regulation.
