Coordinates the Facilities Coordination Center (FCC) which is responsible for answering, responding, and dispatching phone calls and emails received by the FCC and enters requests into the computerized maintenance management system (CMMS). Oversees the communication of campus shutdowns, construction, and other out of order apparatuses. Ensures the FCC team provides exceptional customer service by responding and managing all customer calls and complaints and escalates issues to leadership team as needed. Responsible for the hiring, training, and scheduling of the Facilities Administration student team. Oversees accuracy of interdepartmental and third-party billings, monitors actions against service request accounts, Administers the CMMS, participates in short- and long-term planning and develops and delivers training for the system. Responsible for developing, maintaining, and analyzing reports from the CMMS. Performs other functionally related duties as assigned. Minimum Qualifications Associate’s degree preferably in business administration, accounting or office management or related field. Four (4) years of customer service experience in an office setting were use of computerized office systems and Microsoft Excel were utilized. Preferred Qualifications Bachelor’s degree in business administration or related field. Experience in billing, account reconciliation and account analysis. Experience in a facilities office environment utilizing a CMMS. Experience in a Facilities Administration work environment with an understanding of the roles of the various trades. Supervisory experience. Knowledge, Skills, and Abilities (KSAs) Effective written and verbal communication skills, organizational skills, and decision-making abilities. Strong organizational and excellent interpersonal skills and have a “Customer Focus” attitude and delivery. Ability to build and maintain professional relationships and work as an individual contributor and an effective team player, in addition to being self-directed and forward-thinking. Ability to motivate, coach and develop others. Ability to manage projects, meet deadlines and tackle emergencies and difficult situations. Ability to multi-task in fast paced environment with competing priorities and able to prioritize workload. Detail-oriented and capable of managing large amounts of data, maintain detailed comprehensive records, analyze organize and time management skills. Ability to successfully perform general math calculations and have strong calculation skills. Proficient in Microsoft Office Suite, including Word, Excel, Access, Outlook, Teams, and PowerPoint.
