The Administrative Assistant IV serves as the central, high-level administrative, procurement, and operational hub for the Space and Facilities department at the Kirk Kerkorian School of Medicine. The role provides advanced analytical and technical support, managing the fiscal and logistical needs of 333,000 square feet of Health Care Clinical space. The incumbent exercises significant independent judgment and specialized authority in procurement, project coordination, and regulatory compliance. Core Responsibilities. Fiscal & Procurement Leadership: Acts as the primary fiscal liaison for the department. This includes independently managing five separate PG accounts within Workday and auditing on-site parts and labor expenditures. The role oversees contractor invoices exceeding $2,500 and analyzes financial data to develop budget projections for the Executive Director. Technical Operations & Project Management: Orchestrates complex project workflows using Asana Gantt software and manages RFIs between Project Managers and third-party contractors. The position manages regulatory forms for high-risk permits and maintains mission-critical inventory systems to ensure part availability for technicians. Compliance & Life Safety Oversight: Serves as the primary coordinator for Life Safety Inspections across all HealthPlan clinics, administrative buildings, and the School of Medicine. The role manages the certification of emergency Trauma Bags and interprets NSHE and State purchasing statutes to defend against audit findings. Logistics & Fleet Management: Directly manages fleet operations for seven maintenance vehicles, including Wex fuel audits and motor pool scheduling. The incumbent analyzes vehicle telemetry data for leadership and serves as a high-level liaison for managing the complex schedules of the executive management team. Data Analytics & Lead Oversight: Aggregates and validates JIRA Dashboard data to ensure accurate maintenance reporting for the School of Medicine. The role provides lead-worker oversight to an Administrative Assistant III by assigning tasks, setting priorities, and reviewing work for quality standards. MINIMUM QUALIFICATIONS - Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
