The Executive Administrative Assistant will provide comprehensive, high-level administrative support to our leadership team within the Two-Wheeler & Powersports NA business unit. Operating in a highly dynamic, global environment, this role requires exceptional organizational skills, absolute discretion, and the ability to manage cross-divisional and international priorities seamlessly. You will serve as a central point of contact, facilitating smooth operations and efficient communications across the business. KEY RESPONSIBILITIES:Calendar & Meeting Management: Expertly coordinate complex executive calendars, schedule global appointments, and organize key sessions including bi-monthly sales meetings, all-associate gatherings, and management sessions. Travel & Visa Coordination: Arrange all aspects of domestic and international travel, including flights, lodging, and ground transportation, while managing vital travel documentation such as business visas and passports. Financial & Procurement Support: Prepare and submit executive expense reports, serve as the primary contact for travel and expense queries, manage Purchase Orders (POs), and oversee P-Card ownership and reconciliation. Event & Workshop Planning: Plan, coordinate, and execute team-building events, global onsite workshops, and key customer meetings, managing all related room bookings, logistics, and catering arrangements. Office & Facilities Coordination: Serve as the floor seating coordinator, manage office moves, maintain updated seating charts, order office supplies, and act as the main point of contact for facilities-related matters. Onboarding & Team Administration: Support onboarding activities for new hires and exit processes for departing associates, while maintaining updated organizational charts, email distribution lists, and central team documentation. IT & Compliance Support: Provide basic IT and Identity Management (Id. M) support for the local team, and ensure strict alignment with compliance policies regarding gratuities, data security, and authorized signatures. Qualifications. Experience: 3-5 years of proven experience as an Executive Assistant or in a similar high-level administrative support, preferably within a multinational corporate environment. Education: High school diploma or equivalent is required. An Associate's or Bachelor's degree in Business Administration or a related field is a plus. Organizational Excellence: Exceptional time-management skills with a demonstrated ability to prioritize competing tasks effectively in a fast-paced environment. International Coordination: Strong proficiency in handling complex calendar management, global meeting logistics across time zones, and international travel requirements. Communication Skills: Outstanding verbal and written communication skills, with a high degree of professionalism, diplomatic tact, and absolute discretion. Technical Proficiency: High level of comfort with modern office software (e.g., Microsoft Office Suite), expense management platforms, and corporate procurement tools. Work Ethic & Mindset: Proactive problem-solving attitude, strong personal initiative, and the ability to work independently with minimal guidance.
