This highly visible leadership role is responsible for creating, managing, and elevating the guest experience across all stages of the guest journey — from booking to departure. The Assistant Front Office Manager will serve as the personal point of contact for luxury and VIP guests while also overseeing the broader guest services operation including front desk, concierge, and guest communication. The position combines luxury hospitality and operational excellence, to drive guest satisfaction, organizational growth and symbiotic inter-departmental relationships. Core Responsibilities:Guest Experience & VIP Services - Serve as primary contact for VIP, Residences, and World of Hyatt Globalist guests, ensuring personalized service at every touchpoint. - Coordinate pre-arrival and post-departure communications, implement service enhancements, and respond to feedback via platforms like Hy. SAT and Revinate. - Anticipate needs and resolve concerns with grace, transforming challenges into loyalty-building opportunities. - Collaborate with internal departments (Front Desk, Property Management, F&B, housekeeping, engineering, etc.) for seamless service delivery. - Curate memorable moments for special occasions and manage GEM notes for continuity across stays. Front Desk & Hosting Duties - Welcome guests and oversee smooth check-in for Vail Residences, offering a warm and informed orientation to individual properties and village amenities. - Assist with Hotel check-ins at peak periods. - Personally assist VIP guests with tailored itineraries, concierge services, and in-unit onboarding. - Provide professional support via phone, email, and walk-ins—responding to requests promptly and with care. - Foster repeat guest relationships through genuine hospitality and proactive follow-through. Administrative & Property Support - Assist with documentation, reporting, phone/email communications, and daily checklists. - Manage guest scheduling and system updates (Hyatt, SMS), support homeowner onboarding, and ensure compliance with Vail's short-term rental regulations. - Oversee photography and marketing coordination for new listings, and liaise with realtors, vendors, and contractors. - Conduct unit inspections, create work orders, and follow up with maintenance and housekeeping teams. - Support real estate initiatives and contribute to promotional efforts when needed. Team Collaboration. Works closely with the Residences and Hotel guest services and operations teams to support smooth workflows, share local expertise, and uphold service standards. This role interacts regularly with owners, guests, hotel departments, and external stakeholders to nurture long-lasting partnerships. Why Work at Hyatt?
