The Administrative Assistant provides comprehensive administrative and operational support to the College of Nursing, with a primary focus on the Academic Practice Partnerships and Clinical Affiliations division. This role is responsible for overseeing compliance management systems, including background screening processes, and maintaining accurate student placement data. In addition, the Administrative Assistant supports event planning and execution, coordinates projects, manages scheduling, and provides oversight of student workers. This position works closely with the Associate Dean for Academic Practice Partnerships and the Clinical Affiliations team, while also serving as a key point of contact for students seeking guidance and assistance with clinical placements. Essential Duties and Responsibilities Include the following. Other duties may be assigned .. Provide high-level administrative and operational support for the Academic Practice Partnerships and Clinical Affiliations division, ensuring alignment with college priorities and compliance requirements. 2. Coordinate and execute meetings, events, and workshops that support faculty, students, and clinical partnership initiatives. 3. Oversee scheduling and utilization of facilities and resources to maximize efficiency and support clinical and academic activities. 4. Develop, track, and maintain project plans, including timelines, agendas, minutes, and follow-up actions to ensure timely completion of initiatives. 5. Recruit, train, supervise, and schedule student workers to support daily operations and event execution. 6. Maintain and manage complex calendars, ensuring clear communication and coordination across multiple concurrent projects and stakeholders. 7. Develop, implement, and maintain data management systems to ensure accurate tracking of student placements, effective communication, and compliance requirements. 8. Serve as a central point of coordination between internal departments, clinical partners, and external stakeholders to facilitate collaboration and student placement processes. 9. Monitor and track administrative costs and expenses, process reimbursements, and support budget oversight activities. 10. Support compliance management systems and student placement data processes, while contributing to process improvement, strategic initiatives, and continuous quality enhancement within the division. 11. Demonstrate strong written and verbal communication skills by serving as a primary point of contact for student and faculty inquiries, providing timely, accurate, and professional responses related to clinical placements, compliance, and program operations. Supervisory Responsibilities This position has no supervisory responsibilities. Strong organizational skills with exceptional attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive information with professionalism and discretion. Ability to interpret, apply, and adapt policies, procedures, and guidelines effectively. Strong interpersonal and communication skills, with the ability to work effectively with diverse faculty, staff, and student populations. Ability to exercise sound judgment and make effective administrative and procedural decisions. Ability to create, compose, and edit professional correspondence and documents. Demonstrated professionalism, including excellent customer service and telephone etiquette. Ability to develop, implement, and maintain efficient recordkeeping systems and processes. Ability to address and resolve inquiries, concerns, and complaints in a timely and professional manner. Ability to plan, coordinate, and support meetings, events, and special programs. Advanced computer proficiency, including experience with data management, analysis, and reporting using databases, spreadsheets, and compliance systems. PHYSICAL DEMANDS: The physical demands described here are representative of those required to successfully perform the essential functions of this position. While performing these duties, the employee is regularly required to stand, walk, and sit, and must possess sufficient hand, arm, and finger dexterity to operate a computer keyboard and other standard office equipment. The role requires visual acuity to read text and numerical data, as well as the ability to communicate effectively in person and by telephone.
