Seattle Public Utilities (SPU) is recruiting for an experienced, productive, detail-oriented Term Limited Temporary (TLT) Workspace Management Coordinator (Capital Projects Coordinator, Assistant) to join the Workspace Management team in SPU’s Logistic Division. The successful candidate will assist the team with providing timely and professional services related to the management of SPU workspaces. The ideal candidate will be self-motivated, customer service focused and able to manage projects and workloads with many moving pieces. This Term Limited Temporary (TLT) opportunity is fully benefited and expected to last up to 18-months in duration. This opportunity is open to all qualified candidates. Job Responsibilities
Primary Job Responsibilities for this Temporary Workplace Management Coordinator:Tracks incoming workspace requests/monitors service request email box, schedules work and tracks the completion. Conduct site visits to assess and determine feasibility of workspace modifications requests, ergonomic installation, or move logistics. Receive and evaluate surplus property request; determine the life cycle of assets and their future disposition; surplus to City warehouse. Develops requisitions, manages purchase orders, receipts and invoices for payment in PeopleSoft. Verified accuracy of invoices and project accounting. Assists in developing and negotiating specifications and schedules for design and construction of projects, and monitors and coordinates activities of contractors, consultants, and users during construction. Assists in developing contract and project specifications for design and construction of projects. Coordinates review of design and construction work performed by consultants and contractors. Assists in preparing and processing project change orders to projects if change orders are appropriate and in compliance. Coordinates project closeout and budget reconciliation. Prepares reports, correspondence, and other documents regarding project status, progress, and payments. Assign to specials projects as needed. Qualifications
Experience: Two (2) years of project or construction management or related experience Education: Bachelor's degree in Architecture, Engineering, Business Administration, Urban Planning business or related field Administration or if no degree, candidates will need two (2) additional years of qualifying experience. Combinations of appropriate education, training, certification, and experience(s) will be evaluated on an individual basis for comparability. Desired Qualifications: Experience coordinating the modification and updates of workspaces for a large organization. Strong knowledge of PeopleSoft or creating and processing purchase orders in an electronic financial system. Strong knowledge of Microsoft Office skills, especially Excel and SharePoint. Ability to provide excellent customer service and thrive in a fast-paced environment. Experience supporting projects involving multiple stakeholders. Ability to work independently and adapt to changing priorities quickly. Excellent problem-solving skills.
